Alma Title Count Reduction Project: CARLI Funded E-Collections for all I-Share

Overview

Many I-Share libraries have activated electronic resources in their IZs that are identical to collections that already are or can be provided centrally by CARLI via the NZ. This carryover of practices from Voyager isn't unusual, but it is the largest source of duplicate titles across the consortium. For the next phase of our title count reduction, CARLI has identified electronic collections in each Institution Zone (IZ) that are fully funded by CARLI for all I-Share libraries and that duplicate e-collections already shared from the NZ.

The three e-collections in this round of the project include:

  • Harper's Weekly, 1857-1912
  • Historical Statistics of the United States (from Cambridge University Press)
  • Sage E-Journal 2007 Deep Backfile

This round of the project does not include:

  • The 13 EBSCO electronic resources that are purchased as an annual subscription by CARLI for all I-Share institutions will be handled in a later round of the project.
  • Mary Ann Liebert Journals (2005-2009 content only)*
  • Springer Medicine eBook Collection, 2005-2010*

*Some I-Share institutions have purchased additional titles beyond the packages fully funded by CARLI for these two e-collections. Denise Green from the CARLI Office has already reached out to affected institutions directly to work on options for these e-collections in their IZs.

As part of the network configuration of Alma, when an e-collection is activated in the NZ, each institution's default proxy server information is automatically applied to the resource links presented in Primo VE.  These e-collections are already active from the NZ, so your patrons’ access to these resources will not be interrupted during this transition, and they will likely not notice any change. Similarly, the main difference for staff searching for e-collections in Alma is that these e-collections will now be found in the Network tab rather than the Institution tab.

Since these resources are fully funded by CARLI, there should not be any institution-specific acquisitions details associated with the CARLI-funded e-collections in your IZ.

If your institution has used Primo VE permalinks on your library webpages to link to specific bibliographic records in any of these e-collections, when those e-collections and portfolios are deleted from your IZ because the e-collection is now being managed centrally from the NZ, those permalinks will no longer resolve to the resource.  You will need to find and replace any IZ Permalinks with NZ Permalinks to link to the resource.

CARLI has contracted with the Illinois Heartland Library System’s Catalog Maintenance Center to engage a team of their professional catalogers to work on Alma record deduplication and cleanup under the supervision of CARLI Office staff.

Work Plan

Step 1: CARLI staff will check configurations in the NZ for all non-EBSCO CARLI-purchased e-collections to make sure that they are being properly shared from the NZ to all I-Share institutions.

Step 2: CARLI staff will write reports for each institution to show which e-collections are duplicated in the IZ that need to be deleted.

Step 3: CARLI will distribute reports for each institution in Box and notify I-Share Liaisons and Directors.  The list of I-Share institutions with and without duplicate e-collections to be deleted are listed at the bottom of this page.

Step 4: I-Share institutions with duplicate e-collections to be deleted will indicate to CARLI by October 11, 2021 if they will remove these duplicate e-collections from their IZs themselves or if CARLI will do this work. 

Step 5: I-Share institutions that elect to delete the duplicate e-collections themselves must complete this work by October 15, 2021. 

Step 6: CARLI staff will delete the remaining duplicate e-collections from IZs and notify each institution's I-Share Liaison when the work is completed in their IZ.

Current status:

Completed. Just under 3,000 duplicate portfolios removed from IZs.
