Data Management Services Assistant - University of Chicago

Under the general direction of the Head of Data Management Services and following established procedures, the Data Management Services Assistant performs a broad range of complex acquisitions and bibliographic data management tasks and works in cooperation with staff across all Library Technical Services units and the Collection Support department on data management matters related to their operations. The Data Management Services Assistant is responsible for the timely and accurate processing of acquisitions and bibliographic data from multiple vendor sources; collecting statistics; reporting on data integrity and unit activities; and maintaining bibliographic, holdings, and item data according to unit priorities and procedures. May hire, train, plan, and direct the work of student employees in a range of routine library tasks.

Responsibilities:

  • Retrieve, process, and import acquisitions and bibliographic data for orders, invoices, electronic resources, and other resources according to locally established procedures.
  • Prepare and implement the import, export, and deletion of bibliographic and authority data as required.
  • Edit bibliographic, holdings, and item records individually or in batches in the OLE system and/or with batch editing software.
  • Manage files on the local server and desktop computer, including archiving where appropriate and removing obsolete/temporary data.
  • Maintain activity logs and statistics for data processing and batch-loading activities.
  • Maintain procedural documentation in collaboration with the unit head.
  • Ensure that data is structured according to OLE's national and local standards and accurately represented in the public VuFind system as a part of quality control.
  • Resolve problems as appropriate or refer to the Head of Data Management Services when issues arise with established procedures, processes, or systems.
  • Perform ad hoc data maintenance and enhancement activities, test new and revised procedures, and test system updates as required.
  • Participate in other unit or departmental activities or professional development as required.

Additional Requirements​​

Education, Experience, or Certifications:

Education:

  • High School Diploma or equivalent required.
  • Bachelor’s Degree preferred.

Experience:

  • Two (2) years of position-related experience are required.
  • Experience creating, maintaining, and/or managing metadata or other structured data, e.g., manipulating data in an institutional database or managing research data, required.
  • Experience creating, maintaining, and/or managing MARC data preferred.
  • Knowledge of library procedures is preferred.

Technical Knowledge or Skills:

  • Familiarity with productivity software is required.
  • Intermediate knowledge of MS Excel or other spreadsheet software is required.
  • Ability to learn and work with various systems and software to perform everyday tasks, including vendor and library management systems, required.
  • Familiarity with SQL or other querying languages preferred.
  • Familiarity with library-specific systems is preferred.
  • Familiarity with open-source software solutions is preferred.

Working Conditions and Physical Requirements:

  • Ability to sit for 4 hours or more.
  • Ability to use computers extensively for 4 hours or more.
  • Ability to see; must be able to visually focus on electronic material for long periods.
  • Ability to use standard workstations and office equipment.

Pay Range:

$18.61 – $27.24 hourly
