Technical Services Committee Meeting

December 13, 2023 – 1:00-2:30 pm

Co-Chair Tammie Busch called the meeting to order at 1:01 PM.

CARLI Report & Announcements

  • Working through local resource type modifications the CMC catalogers have edited over 1,000 records for Compact Discs. Working on the next 7,000 records now. Changes are made to CARLI data and in OCLC.
  • Ted has created a draft list of topic ideas for Tech Services Q&A sessions for the new year, see link below. Ted would like some input and find some presenters. Reach out to Ted if you know of a presenter for the topics. Dates will be 4th Thursday of each Month (except for February and April).
  • Anonymization group working on report data in analytics to see how Alma stores transaction information for Circulation and hope to have a proposal to the board in the spring to begin to anonymize Circulation transactions, along with user purges to keep user data private.
  • Five institutions are migrating to Alma. They have given data to Ex Libris and working on their migration forms.
  • Records that have been badly merged, Ted wants some crowd-sourcing to fix these records.

Discussions/Continuing Business

  • Minutes from the November 8, 2023, meeting were approved.
  • Recap of subcommittee work:
    • Jackie reported for the Suggested Priorities subcommittee
      • Got through the ONs and New project names to determine if they are necessary anymore. Some go back to Voyager era and it was decided they can be deleted. Will confirm with Ted. All items listed as “New” are Alma centric.
    • Jodi reported for the Training subcommittee
      • Determined Rails mentorship program will cover what we hoped to do with mentors.
      • Connection oriented training exists and how can we expand on that. Make sure people know and can find it.
      • Make sure people know about our offerings and how to make sure people know.
    • Brent reported for the Authorities subcommittee
      • Discussed harmful language statements, and questioned if CARLI could or should adopt a statement for all libraries.
      • Uncontrolled or local subject terminology, such as 653 fields, and if harmful language should be permitted in I-Share. This has been put on the back burner for now.
      • Looked at Authority records in Primo, and Cross-reference don’t appear or function.
      • Ted used Sandbox to demonstrate updating headings
      • Problems with different Vocabularies in use that have conflicts in terminology
      • Possibility of creating Local authorities in NZ
      • Read more documents and due more testing
      • Ted wants Ex Libris to turn on the preferred term job in the Sandbox to see how it works.
  • Discussion on information shared by Pam Thomas at the 11/30 presentation on CMC cataloging offerings and possibilities for the training component of our annual project.
    • Cataloging Special Collections and related materials grant that they have from the State Library.
      • They can catalog anything for a “Special Collection,” or specialized Illinois materials can be cataloged for free. You can decide what is special, could be for circulating items.
      • You can send the items or scanned pages describing the items.
    • They have Cataloging training classes through L2, and then topical workshops each month.
    • Digitization experts to help with digitization projects
    • Foreign language cataloging for many languages.

New Business

  • Jackie (NEIU) multivolume indicators 853/63 coding in older sets the 863 lists barcodes separately. Jackie is used to using indicator 4, but is seeing 3 & 2 being used and is wondering why are they being used? In DRA the barcode was put in the 863.
    • Ted might add this to cataloging training for 2024.

 

Tammie adjourned the full committee meeting at about 1:47 PM as subcommittees entered breakout rooms (the Training subcommittee reschedule to meet December 19), the Zoom call ended at 2:30 pm.

The next Technical Services Committee meeting will take place on Wednesday, January 10, 2023, at 1:00 PM on Zoom.
