Instruction Meeting – November 29, 2023

Announcements

  • CARLI news/updates (Debbie): Many upcoming webinars are available via the PDA consortium. CARLI office will be closed Fri Dec 22 - Jan 1; re-open Jan 2. Resource sharing will be paused by CARLI during the holiday period.

Items

  • Recap of October virtual discussion on workplace information literacy (co-moderated by Abby and Claire).
    • Event went well overall, via Zoom chat/audio with no Google doc
    • Recommended for moderators to read aloud the chats to help connect the spoken and written discussion, and likewise, for moderators to type a summary of each comment into the chat thread.
    • Recommended to have two co-moderators to share the work; decide in advance who watches the chat, reads the questions, etc. 
    • About 12-15 people attended.
  • Discuss CARLI Instruction Showcase Options. Options based on prior discussion are (A) multi-location open house; (B) in-person showcase in Central IL with hybrid options; (C) Option A but with Zoom meetings rather than in person; (D) Fully online showcase. Committee discussed various pros and cons of the options.
    • Option A seems most work intensive but CARLI can offer support.
    • A hybrid event may require costs to hire a videographer.
    • Will we get enough presenters to make an in person event such as (B) work?
    • Do we want to partner with other organizations if we want to do (B)? (Example: NILRC). If so, there would need to be a discussion about the logistics of multi-organization partnership.
    • Would we want to consider having a keynote speaker?
    • Registration in 2019 was 68 - that was the last time the Showcase was held in person. Other decisions that have arisen through the years – whether to hold some sessions concurrently, finding the right mix of keynote speakers, unconference, and presenters; etc.
    • Alex is exploring hybrid meeting spaces at UIUC, just as an idea. Sometimes campus conference centers have these capabilities.
    • Seeking the right balance of community building/ collective sharing vs. learning in presentations, workshops.
    • Option (E) was floated - March/April in person meetups without a strict agenda; followed by June online showcase – presentations; workshops; "live" online poster session; unconference/wrap up talk about in person meetups.
    • Travel budgets might be tighter this year with people prioritizing LOEX. This also means that people with no or minimal budgets may be more attracted to small local/regional meetups.
    • We took a general vote on (E) with options being in favor; discuss further; or revisit A-D. Five for proceed with option (E); two let’s talk more about it; one for revisit A-D.
    • Next steps: begin to develop plans with goal of sending out a Showcase save the date announcement in January.
  • December virtual discussion updates (Alex and Heather, co-moderators):
    • Reminder to register. Event is on Thurs Dec. 7, 1 - 2 p.m.
    • 39 registrants to-date
    • Debbie and Denise have been promoting the event, and will send one more reminder next week
    • Alex and Heather are planning to meet in advance to finalize the script
  • January virtual discussion updates:
    • We voted on  “Teaching with Care” as the featured reading
    • Claire and Zohra offered to co-moderate
    • Committee contributed discussion question ideas on the planning doc
    • Date TBD

Decisions

  • The committee agreed on the format of informal Spring meetups followed by a June virtual Showcase.
  • The committee selected the reading “Teaching with Care” for the January virtual discussion, with Claire and Zohra moderating.

Tasks assigned

  • Before December 13 meeting:
    • Debbie and Denise will scope potential early to mid June Showcase dates ahead of time.
    • Debbie offered to find out the processes and lead times for CARLI to help coordinate food, insurance, etc. for the in-person events.
    • Debbie, Claire and Zohra will be in touch to identify potential event dates for the January virtual event.
  • At December 13 meeting:
    • All: Decide on Showcase date and language for save-the-date announcement.
    • All: Discuss details for the in-person Spring events.
