This position is responsible for the purchasing and processing of the Wheaton College Library’s new collection items; monitoring budget and reconciling expenditures in vendor, library, and campus systems; and assisting in the development and implementation of streamlined workflows and documentation. The Acquisitions/Processing Coordinator reports to the Team Leader for Acquisitions and Discovery Services and co-supervises student workers. This is a full time position and pays $22-23.50/hr
Duties and Responsibilities
- Coordinates the acquisition of physical monographic material and realia for Wheaton College’s collections including at the main library as well as Special Collections, HoneyRock, and Black Hills locations. Researches purchase requests, submits orders in vendor systems and in the library’s internal library services platform (LSP) software, and oversees material receiving, quality checking, and invoicing in the LSP.
- Coordinates physical processing and mending of monographs, non-book materials, and special and rare collections. Maintains library resource processing supplies and spaces.
- In coordination with the Senior Staff Cataloger, interviews, hires, trains, and supervises student workers. Also in coordination with the Senior Staff Cataloger, manages and assigns tasks to student workers that match their skills and maximize productivity.
- Keeps financial records in vendor, library, and campus systems, including the reconciliation of credit card transactions on a personal P-Card and all relevant invoices at fiscal year end.
- Assists the Team Leader for Acquisitions and Discovery Services in identifying needs for procedural changes internally and with vendors; identifies time and cost savings; brainstorms, creates, and tests workflows related to acquisitions and processing, including as they intersect with other library groups; maintains documentation.
- Collaborates with staff throughout the library to streamline integration of newly acquired materials into the collection, especially with cataloging, subject librarians, e-resources, and circulation and interlibrary loan staff.
- Oversees the removal of physical items from the library’s collections and liaises with external vendor(s) (e.g., Better World Books) for potential reuse of withdrawn items for other purposes.
- Routinely creates, manipulates, and interprets spreadsheets and reports to address internal, library-wide, and external tracking and ordering needs.

Qualifications
- Bachelor’s degree preferred
- Three years of purchasing or library systems experience in lieu of degree
- High accuracy with data and attention to detail
- Strong problem-solving skills
- Excellent communication skills

- The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 30 pounds.
