Access Services Manager - Mckendree University

McKendree University is seeking an Access Services Manager to manage circulation, interlibrary loan, reserves, and stack maintenance.  The position includes hiring, scheduling, training, supervision of and maintaining time reports for student workers. The Access Services manager supervises or performs the circulation desk duties, reserves, and interlibrary loan within CARLI and OCLC . The Manager keeps records and statistics for monthly and annual reports to Director of the Library and others.  The position is also responsible for preparing circulation policies and procedures, manuals, handbooks, etc. to be used by public services personnel and the general public.  The Access Services manager works within the CARLI consortium of academic libraries and implements reciprocal borrowing agreements and other policies and procedures required by the consortium.   The successful candidate will demonstrate excellent interpersonal skills, knowledge of best practices for circulation, interlibrary loan and reserves, an ability to work within a team environment and a commitment to a student-centered environment.  Excellence in customer services is a must.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Functions under the general supervision of the Director of the Library, receiving written and oral instructions when necessary. 
  • Develops and enforces policies and procedures; Manages circulation, interlibrary loan, reserves, serials, and stack maintenance. 
  • Provides coverage of circulation desk all hours the library is open through staff and student workers.
  • Supervises or performs circulation desk duties, reserves and interlibrary loan (including sending and receiving).
  • Hires, trains, supervises schedules, maintains time reports and manages budgets for student workers.
  • Manages student accounts in library through use of ExLibris Alma and PrimoVE.
  • Serves as Illinois Library Delivery Service liaison and manages all ILDS delivery procedures.
  • Prepares circulation policies and procedures manuals, handbooks, etc. to be used by public services personnel and the general public.  This includes policies posted in the library and online at the Holman Library website.

Maintains stacks:

  • Responsible for re-shelving of materials. Responsible for keeping materials in proper order. 
  • Responsible for training student shelvers in Library of Congress call numbers, shelf-reading and recovery.
  • Responsible for condition of collection by identifying materials in need of repair or replacement.
  • Working within library team, responsible for planning for and shifting of materials.
  • Requests supplies when needed in Access Services.
  • Oversees printers and copy machine services including maintaining equipment, budgeting, and supplies as needed. Works with mailroom for copy supplies as needed.
  • Works within the CARLI consortium of academic libraries and implements reciprocal borrowing agreements and other policies and procedures required by the consortium.
  • Maintains usage statistics pulled from interlibrary loan and circulation online reporting systems, gate counts and other methods of gathering information.
  • Prepares monthly and annual statistics for reports to the Director of the Library and others.   Prepares statistical reports as needed for special projects.
  • Analyzes statistics to evaluate trends, demographics of users and other information useful for planning and revising policies and procedures as needed.
  • Attends CARLI and/or other library-related forums, workshops, webinars, etc. to stay current with changing Access services policies and trends.
  • Participates in strategic and automation planning; attends and participates in library staff meetings.
  • Assists in contributing to an overall professional appearance and safe environment of the library through submitting work orders.
  • Assumes shared responsibility for reporting physical plant/equipment needs to the Physical Plant department.
  • Performs other duties as assigned.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree from an accredited institution.
  • Working knowledge of the Internet, computers, online databases, and software. 
  • Knowledge of a local integrated library system such as Ex-Libris Alma and PrimoVE and interlibrary loan. 
  • Experience in the Access Services Department of an academic library of comparable size.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent problem-solving and communication skills. 
  • Strong communication (oral and written) and interpersonal skills essential.
  • Ability to build positive, productive working relationships. 
  • Knowledge of Microsoft Office products. 
  • Ability to prepare charts graphs and analysis of data.
  • Knowledge of CARLI and I-Share consortial policies and procedures and interlibrary loan (including sending and receiving).
  • Ability to work productively with a diverse group of faculty, staff, students and other library patrons.
  • Commitment to a student-centered environment within the mission of the library and university.

PREFERRED QUALIFICATIONS:

  • Experience in a supervisory position in an academic library. 
  • Solid knowledge of emerging technologies in public services.

WORK HOURS/CONDITIONS:

40 hour work week, which may include evenings and weekends.  Work schedule varies due to library hours.
