Public Services Working Group Meeting: August 9, 2011

Decisions

  • PSWG meetings will be scheduled for 1 p.m. on the third Thursday of each month, from September 2011 through June 2012. Attempts will be made to limit meetings to one hour. If a longer meeting is deemed necessary, the chairperson will announce this in advance. Compiling and posting working group meeting minutes will be rotated among working group members beginning with Susan in September and proceeding through the working group roster alphabetically by last name. The working group decided to adopt the CARLI template for minutes.
  • The group will try using Adobe Connect for its first virtual meeting, on September 15. Members are to attempt to log into Adobe Connect at 12:45 p.m. that day to test their connections. If all members wanting to attend the meeting are able to connect by the 1 p.m. meeting start, the meeting will proceed using Adobe Connect. If any member wanting to attend the meeting is not able to successfully connect using Adobe Connect, the meeting will proceed using the teleconferencing service used by the group last year. Elizabeth and/or Jennifer will send directions to members in advance of the September 15 meeting. Members are advised to use a headset when using Adobe Connect to minimize feedback and echo.
  • The group will move forward with planning for a spring public services open house at Chicago State University. A group consisting of Bruce, Marianne, and Susan will confirm Chicago State University interest and consult with library staff there regarding the program. A potential topic to pursue for a morning plenary session is public services organization and staffing. Potential topics for small group discussions include electronic books use, innovative ideas for instruction, “cool” tools, staffing sharing, PDAs, liaising with academic departments, marketing, and liaising with non-academic units.
  • The working group will move forward with planning professional development opportunities related to writing library policies. Specifically, the working group will pursue sponsoring a webcast on the topic and an associated in-person, hands-on workshop. This training will also provide an opportunity to familiarize public services library staff across the state with the policies clearing house under development by the working group. The working group decided to proceed with preparing the clearing house for broader access via the CARLI wiki. A group consisting of Matt and Sean will proceed with the policies clearing house project, while a group consisting of Sandra, Andrew, and April will begin planning the professional development activities.

Announcements

  • CARLI continues to support development of the eXtensible Catalog (XC) for the I-Share system. Once completed, XC will serve as an optional user interface to the catalog. (from Susan Singleton)
  • Based on the success of its patron drive acquisition pilot this last year, CARLI is planning a $70,000 patron driven acquisition program for the coming year. It will involve print materials in the humanities and social sciences. (from Susan Singleton) CARLI is preparing a request for proposal for a consortial electronic book service. Through the service, books in electronic format would be available for use by patrons at any I-Share institution. If such a pilot can be arranged, it is targeted for implementation in 2012.   • Names of all working group members have been added to the working group email distribution list. Registration for the separate CARLI Public Services Interest Group listserv is optional on the part of working group members. See Jane, Elizabeth, or Jennifer for details.
  • All working group members will soon have access to the PSWG wiki. Elizabeth will disseminate information about the wiki to working group members.

Tasks Assigned

  • Returning working group members are asked to review and approve (initial) minutes of the June 16, 2011, meeting. Jane will send a reminder to members to do so.
  • Elizabeth will send members directions for accessing and using the working group wiki.
  • Elizabeth will send members the URL of the Extensible Catalog (XC) demonstration site.
  • All working group members are asked to contact Jane in advance if unable to attend any regularly scheduled meeting.
  • Members intending to attend the September 15 working group meeting are asked to log into Adobe Connect 15 minutes prior to the scheduled meeting start time to test their access to the system. Elizabeth will disseminate instructions to members for using Adobe Connect and for using the teleconferencing system.
  • Bruce, Marianne, and Susan will organize as a group to begin planning a spring 2012 public services open house at Chicago State University (tentatively scheduled for Friday, April 27, 2012). The group will confirm interest of the Chicago State University library staff and will work collaboratively with staff there on program content and organization.
  • Sandra, Andrew, and April will organize as a group to begin planning professional development activities on writing library policies. The group will pursue organizing a webcast and an in-person, hands-on workshop. Matt and Sean will organize as a group to proceed with preparing the policies clearing house for broader release through the CARLI wiki.
  • Bruce will post draft minutes of this meeting on the PSWG wiki and so notify all members. Members attending the meeting are asked to review and approve (initial) the minutes in advance of the September 15 meeting.
