Decisions

  • Committee will meet on the third Wednesdays of the month at 10:00 am.
  • Committee will continue discussion of its Annual Project at the in-person September meeting.
  • The committee postponed the discussion about platforms for collaborative work until the September meeting.

Announcements

  • Member Announcements:
    • Reina:  Many open positions at Rush University, primarily due to retirements.  Looking for a library director, a reference librarian, and e-reserves position.
    • Chad:  At Illinois State University, the Provost is retiring.  Milner Library is about to initiate a dean search.  Renovations to student center have been nearly completed, including the plaza that connects that building to the library.  Library first floor renovations are about to begin and will be finished in 18-24 months.
    • Elizabeth:  Governors State University has a Librarian Dean search underway.
    • Krista:  Western Illinois University librarians resisted attempts to make all librarians work nine month contracts.  They successfully were able to keep some librarians to be employed over the summer to handle the Alma transition.
  • CARLI Announcements:
    • Each of the CARLI committees will have board member liaisons. The liaison positions were created in response to feedback from members about the CARLI Strategic Plan. More coordination and communication among the Board and the Committees was requested along with more coordinated efforts by the Committees.
    • The committees have been asked to support the Alma Primo VE migration with their work if possible.
    • Committee members were asked to see the All Committees FY20 Kick off webinar presented on July 23, 2019 if they had not already. A recording can be found on the CARLI website.
    • CARLI hired a graduate assistant position in partnership with the I-School.
    • CARLI is holding a Mid-Level Leader's Symposium: CARLI's Next Dean's and Directors on September 25. Registration is available from the CARLI Calendar.
    • CARLI is working to establish a CARLI scholarship.
    • CARLI′s first Career Fair will be held in partnership with the iSchool at the University of Illinois at Urbana-Champaign, on Thursday, November 14, the day prior to the CARLI Annual Meeting.
    • The CARLI Annual Meeting will be November 15th at the I-Hotel. CARLI Committees need to be prepared to talk about their past year’s project for 2018-19 and their project for the current year.
    • There are 131 Libraries in CARLI. Ninety-one are members of I-Share and will migrate to Alma Primo VE. The Chicago History Museum is now a governing member of CARLI.
    • Denise noted the CARLI calendar, especially the Thursday open hours at 2:00 about the Alma & Primo VE migration.  She asked if any committee members had participated in the migration documentation.  A number had done so.  She also noted the Alma and Primo VE transition informational page (https://www.carli.illinois.edu/products-services/i-share/alma), the Test Migration Extract Dates calendar (https://www.carli.illinois.edu/products-services/i-share/alma/test_migration_extracts) and the Ex Libris Knowledge Center (https://knowledge.exlibrisgroup.com/).  
    • Recommend starting with “Alma Essentials” series at https://knowledge.exlibrisgroup.com/Alma/Training/Alma_Essentials/Alma_Essentials_-_English.

Tasks Assigned

  • Minutes taken by Chad Kahl.
  • Committee members have been requested to view the Committee Kickoff webinar if they were not able to attend in person or view already. It is available on the CARLI website: https://www.carli.illinois.edu/governance/committee-directory
  • Elizabeth/Denise will send out a meeting invite for conference calls through June 2020 following the pattern of the 3rd Wednesday of the month at 10-11am beginning with October 16.
  • Denise will send out a list of other libraries that are currently using Primo VE. (see https://el-una.org/working-groups/primo/primo-sites/ First part of the list is new Primo VE; second part further down screen is “classic” Primo.)
  • Denise/Elizabeth will check with other CARLI committees on their plans for the year to avoid duplication of effort.
  • Elizabeth will send committee members the lunch menu for the in-person meeting and requests replies by August 30.

Discussion

  • Committee Co-Chairs, CARLI liaisons and board liaisons had conference call earlier to discuss possibilities for the committee annual project.  The chairs shared possible project ideas and committee members identified some as well. Ideas included:
    • Guides for using Alma/Primo VE
      • For library staff and library users – there would have to be discussions about what guides will be needed.  It would make more sense to focus on public users because of the vast amount of help already available to library staff.  Ex Libris offers both print and video help resources and will offer in-person training opportunities, likely in October.  Would be helpful if those training opportunities are also available asynchronously.  Suggestion to check to see what has been done by other libraries and institutions that have already migrated.  Denise can share a list of libraries that have already migrated.  John noted a number of Illinois institutions that are already utilizing Primo VE.
      • A possible project is to create LibGuides and other web-based guides on using the new catalog that could be adapted by CARLI institutions for their local use.
      • Nestor asked if other CARLI committees will be working on this.  Denise and Elizabeth can check into efforts to collaborate to prevent duplication of efforts.
    • What about customization?  There are ways to customize Primo VE interface, such as logos and colors but also where things are found on the screen, left or right side?  A question was asked about how new is Primo VE?  It’s been around at least two or three years, so the Committee could review installations at other institutions and make recommendations about some customizations to I-Share libraries
