Announcements   

CARLI UPDATES

  • Denise Green communicated to the group the importance of having an account with IP registry to verify your libraries IP addresses. This is necessary to have access to OUP books. Create your free account IP Registry

Decisions

  • November minutes approved.
  • New poll will be sent out for future meeting times as some committee members schedules have changed.
  • Today’s meeting to be recorded by Marisa Tolbert for members who were unable to attend.

Updates

  • Ted presented on Data Sync and Electronic Resource Management.
  • Data Sync collections synchronize the library inventory with WorldCat holdings. This is done through Collection Manager. Matching is based on OCLC Control Number.
  • Two separate data sync routes. One for Physical and one for Electronic. Physical sync happens daily and Electronic sync happens weekly. These reports are saved on CARLI’s secure FTP server.
  • Data sync can have errors. CZ records don’t always have OCLC numbers. Mismatches go into WorldCat Staging.
  • Collection Manager via WorldCat knowledge base is a better option. Electronic resources can be added and turned on or off for ILL.
  • Alma data sync reports are found under Publishing Profiles. WorldCat staging is found in WorldCat under Metadata, My Files.
  • Q&A
    • Denise clarified that files are only held on the FTP server for 60 days and the staging report does not give a diagnosis as to why it ended up on the report. Ted affirmed this but did note that there are some settings in WorldCat that can allow for more information. Denise asked if a library can opt out of an Electronic resources sync. Ted said yes, you just have to turn the job off in publishing profiles.
    • Question was asked if you have to turn data sync off in both WorldCat and Alma. Ted explained that if you do not turn off data sync in publishing, updated information may force an update in WorldCat. However, the collection manager work in WorldCat should override the Alma Publishing.
    • Ted showed how to delete holdings in bulk in WorldCat.
    • Ted shared that you can run a reclamation project. Where you send all of your current bibs and then OCLC deletes holdings that aren’t on your list. There is a charge for this where as the Streamlined Holdings Update option is free once a year.
