Regenstein Circulation Services Supervisor (part-time) - University of Chicago

This position oversees the lending of materials from Regenstein Bookstacks and Regenstein Reserve. This person is also responsible for answering patron questions relating to Access Services and serving as a resource for questions about other Library services. During evenings/weekends, acts as the supervisor in charge of the Regenstein Library, oversees Entry/Exit staff and building security, and enforces policies for maintaining a scholarly environment in the Library. 

Scheduling Notes

This position covers all circulation shifts as assigned. Responsible for occasionally flexing work schedule to cover other shifts as necessary. The expectation is that planned time off will be taken only during interim breaks, and the schedule will be flexible during interim breaks and summer quarter. The schedule is subject to change. 

Essential Functions 

Customer Service and Interpretation of Library Policies to Patrons: 

  • Answers inquiries concerning overdue books, recalls, reserve problem, and fines both in person and via Desk Tracker. 
  • Listens to patrons with special problems or complaints and attempts to resolve problems as appropriate. 
  • Interprets Library policies to patrons and refers patrons' concerns to Head of Circulation Services when appropriate. 
  • Responsible for collecting fines and fees and balancing cash collected while on duty. 
  • Troubleshoots Canon multi-functional devices. 

Supervising, Coaching, and Documenting: 

  • Interviews, hires, trains, supervises, and coordinates scheduling for student counter attendants, a shared and/or rotating responsibility with other Circulation Supervisors. 
  • Distributes work to and monitors work done by student employees. - Coaches and directs student employees in maintaining Circulation policies and procedures and standards of service. 
  • Uses When to Work for adjusting schedules and recording student employee information and uses comment boxes to communicate information. 
  • Conducts routine orientation, training, and remedial training of student employees. 
  • Maintains training records and monitors student employees' progress and reports to Head of Circulation. 
  • Documents and updates Circulation procedures. 
  • Monitors, approves, and submits all documentation related to student counter attendants' payroll, a shared and/or rotating responsibility with two part-time Circulation Supervisors. 

Building Security and Emergency Response: 

  • During evenings/weekends, acts as supervisor in charge of Regenstein Library and oversees building security. 
  • Acts as resource person for other campus libraries. 
  • Enforces policies for maintaining scholarly environment in the Library. 
  • Provides initial response to emergencies. 
  • Assists patrons in contacting University Police if needed. 
  • Handles general inquires relating to building and security while on duty. 

Entry/ Exit Control Responsibilities: 

  • Oversees Entry/Exit staff during evenings/weekends and ensures timely coverage of breaks. 
  • Resolves problems and appeals from users on Entry/Exit questions. 
  • Reports issues to Head of the ID and Privileges Office. 
  • Oversees application of rules and procedures for Library access during evenings/weekends. 

Working With Other Circulation Supervisors: 

  • Works closely with the Head of Circulation Services and other Circulation Services supervisors to ensure consistent services whenever Circulation is open. 
  • Assists in formally documenting and reviewing the performance of student counter attendants.

Qualifications:

  • Bachelor's degree required. 
  • A minimum of one (1) year of work experience in a library or equivalent environment required. 
  • Previous experience directing or supervising the work of others required. 
  • Significant customer service experience within a library, retail, or similar fast-paced environment required. 
  • Previous experience directing or supervising the work of others preferred. 
  • Ability to exercise good judgment consistent with Library policies and procedures and service standards required. 
  • Ability to train, coach, and direct student counter attendants in Library policies and procedures required. 
  • Excellent interpersonal skills and ability to manage and maintain professional relationships and communicate with clarity, courtesy, and tact with patrons, staff, students, faculty, and others required. 
  • Ability to identify and solve problems required. 
  • Good organizational skills and strong attention to detail required. 
  • Strong oral and written communication skills required. 
  • Ability to manage time and multiple tasks in a fast-paced environment required. 
  • Reliably able to work independently during evenings/weekends as the sole supervisor in a large academic library required. 
  • Strong knowledge of computer applications such as MS Office, email, and Internet required. 
  • Ability to quickly learn and master unique and complex software required. 
  • Ability to communicate effectively in English required. 
  • Ability to push/pull loaded book trucks required. 
  • Knowledge of integrated library systems preferred.
