Program Manager - University of Chicago

The Program Manager manages the operations, services, and programs connected to the center. Reporting to the Director of Digital Scholarship, the Program Manager will work closely with Center staff to ensure the effective running of the physical space, manage user experience, supports the execution of outreach strategies, and coordinate with partners within the Library, on campus, and the community. The Program Manager will train and supervise student employees, maintain and assist with web content updates to support patrons and the operation of the Center. The Program Manager will also coordinate the logistics for events that take place in the Center, such as visiting speakers, conferences, and other activities.

Responsibilities

  • Manage daily operations of the CDS, including opening and closing spaces, facilitating bookable collaboration spaces, managing access to special services such as to the digitization lab and after hour access.
  • Hire, train, evaluate, and supervise student employees.
  • Plan and coordinate projects and events in collaboration with CDS staff that support the mission of Center.
  • Support CDS communications and outreach by maintaining web content, staffing events, and drafting content for social media and newsletters in collaboration with Library Communications staff.
  • Serve as an information resource to patrons and Library staff.
  • Work with patrons and Library staff to troubleshoot challenges and provide excellent customer service.
  • In collaboration with Library staff, conduct assessment of the center to enhance CDS operations and services.
  • Support patron use of hardware and equipment by providing access and basic troubleshooting.
  • Stay current on related centers, events, and activities occurring on campus and share information with Center staff.
  • Maintaining office supplies, documentation, workflows, and other procedures.
  • Supports the coordination of maintenance of facilities, grounds and/or equipment. Receives requests for facilities services and coordinates delivery of appropriate services. Utilizes specialized skills and on-the-job experience to conduct inspections of buildings, equipment and/or surrounding grounds for deficiencies and potential safety, health, or code problems.
  • Supports the work of unit facilities unionized staff. Prioritizes and schedules work assignments, inspects work, and provides guidance and technical assistance.
  • Triages emails and telephone calls for action. Resolves mostly routine and some complex inquiries.
  • Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies.
  • Performs other related work as needed.

Qualifications

Minimum Qualifications

Education:

  • Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Work Experience:

  • Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • College or University degree.
  • Master's degree in library science from an ALA-accredited institution or an advanced degree in a related subject area with relevant library experience.

Experience:

  • Demonstrated ability to plan and manage projects.
  • Excellent oral and written communication skills with a demonstrated ability to produce public-facing materials such as documentation, service pages, presentations, etc.

Preferred Competencies

  • Demonstrated success in managing the operation of public services.
  • Demonstrated interest in developing programs.
  • Demonstrated interest in digital tools and methods for research and teaching.
  • Successful experience as a manager of staff, including hiring, scheduling, and training.
  • Demonstrated record of success in developing and maintaining strong working relationships with faculty, staff, administrators, or other internal and external partners.
  • Ability to work independently, as well as collaboratively, in a changing environment.
