Digital Collections Users' Group Meeting: September 21, 2011

Members present: Ellen Corrigan (Eastern Illinois University), Chris Day (School of the Art Institute of Chicago), Eben English (Loyola University Chicago), Ginger Frere (Newberry Library), Peter Hepburn (University of Illinois at Chicago), David Levinson (Lake Forest College), Meg Miner (Illinois Wesleyan University), Laurie Sauer (Chair, Knox College), Julia Thompson (Western Illinois University)

Confirmed Julia as minutes taker, and Chris will take minutes next meeting.

Minutes from the August meeting were approved with corrections.

"Anatomy of a Digital Project" series

Future programs:

  1. Connecting Your Digital Collections to the Curricula at Your Institution (Peter) – Will contact speaker and suggest late October to early November.

  2. Contracting with Vendors for Digitization Services (Meg) – Will confirm early-mid December with the speaker.

  3. Effective Project Management for Digitization Projects (Eben) – Will try to push date to January or February, depending on Laurie's date.

  4. Digitization for Access and Discovery (Laurie) – Will try for late January or February, depending on Eben's date.

  5. Promoting Collections (Ginger) – Will do hers in March.

  6. Digital Preservation (joint subcommittee) – Planned an in-person forum in Champaign for April 10

  7. Grants/Funding (Ellen; all-day/in-person program) – Will look into early May.

Digital Projects Copyright Workshop

  1. Amy reported 80 people have registered.

  2. Anyone interested in helping could get there at about 9am. Registration begins at 9:30.

  3. While Ellen suggested a definite Q/A period of time at the end, Dwayne Buttler hasn't given us the agenda for meeting yet, so we will follow his lead.

  4. SurveyMonkey Evaluation Form – Eben said the Communications and Outreach Subcommittee is going to look at it. Laurie was interested in seeing an area for feedback specific to the speaker presenting.

Subcommittee reports

  1. Communication & Outeach - (Eben): Hasn't met yet – Meeting directly after the full DCUG meeting.
  2. Documentation & Standards - (Ellen): Met one week ago. Reviewed last year's projects for new members. Peter shared his version of a revised "Best Practices for Images" document, and Eben will present a draft revision of "Best Practices for Text" for discussion at the next meeting. Consulted the assessment survey results to guide project goals for the year. Group plans to add sections to the Digitization Resources portion of the CARLI wiki on project planning and management and grant writing. Also plans to work on document about collection home page customizations for users of CARLI Digital Collections and may create a document on "Digitization Best Practices for 3-D Objects."

  3. Usability – (Chris): Hasnt met yet – Meeting to occur 9/22 @ 11am.

  4. Digital Preservation (Laurie): Met on 9/12. Discussed the date for the forum and chose April 10th. They are going to submit a proposal to CARLI Program Planning Committee soon. They did discuss ways to educate CARLI members about digital preservation that are different from ways the forum will address.

Other Business

Amy asked if we were going to move forward with the CARLI Digital Collections featured image on the CARLI blog. Chris said yes, and he will discuss it with the Communications and Outreach Subcommittee in the meeting directly after this conference call. Then he will begin emailing individual institutions and would like to ideally get something up by mid-October.

Conference Reporting

Peter will be attending the annual ASIS&T (American Society for Information Science and Technology) Conference in New Orleans in the second week of October.
