CARLI PUBLIC RELATIONS COMMITTEE MINUTES
12-9-05

Present: Troy Swanson, Barbara Galik, Toni Tucker, and Becky Houghton

The CARLI PR committee met at Bradley University on December 9, 2005. The primary agenda item was planning for the IACRL Pre-conference on March 29, 2006.

It is the PR committees understanding that CARLI is paying entirely for the pre-conference including room rental, food, and giveaways.  Barbara will contact Bernie Sloan for verification.

Toni reported that the space is reserved.  Toni provided a diagram of the floor space at the Chateau.  We have the auditorium and the 3 Bonaparte rooms reserved.

Toni provided menus so that we could decide about food.  It was decided that we need to plan for 2 breaks, one in the morning and one in the afternnoon and select a lunch.  The committee selected the Imperial Continental for the morning break and the American Ballpark for the afternoon break.  It was decided that we preferred a luncheon buffet over a served sit-down luncheon.  The Country Buffet with Chicken Pot Pie and Roast Pork Loin was selected.  The lunch buffet comes with several salads and vegetables, but it was suggested that the reservation form provide a place for attendees to specify special dietary needs.  Barbara will convey that information to the Conference planning committee who will be sending out the reservation form.

A lengthy discussion followed on what we want to accomplish.  Guidelines established by the committee were:  The conference should be engaging, a learning experience, a sharing of ideas and not just a meeting where attendees sit and listen to presentations all day.  With these guidelines in mind, the committee brainstormed and produced the following ideas which were later modified into the agenda that follows.

A discussion of asking Susan Singleton to lead the wrap-up or asking a consultant such as

(sorry, I don’t seem to have the name) or Dan Wiseman took place.  We need to clarify with CARLI if they will pay for a guest speaker.  We also discussed who would lead the breakout sessions so that they are truly engaging.  Possible names that came up were:

Dane Ward (Information Literacy); Mary Monroe (Collection Analysis); Jenny Levine or Lori Bell (Future of Reference); Various committee members for committee updates such as Toni Tucker on PR.

Discussion moved to a giveaway for the pre-conference.  The committee liked the small umbrella give-away idea.  Toni will order them if ok with the CARLI office and just send the bill to CARLI.  Toni will send out some websites with the possible products shown.

It was agreed that the poster session done for ILA would be good to have on display at the Pre-conference even though it does not have the logo on it.

A brief discussion of the Publications award followed.  It would be nice to have an informational sheet on this available at the pre-conference.  Barbara will bring the guidelines for review at our next meeting.  Troy suggested giving a monetary award to the library of the winning writer.  More discussion of this award and ideas will follow next month.

Tentative meeting dates are:

Jan. 13th at ISU, Feb. 10 at ICC, March 10th at the CARLI office.
