April 30th Deadline for CARLI Committee Volunteers

Volunteer now to serve on a CARLI committee!  CARLI currently has openings on various teams and working/user groups. Faculty and staff members from all CARLI Governing member libraries, with all levels of experience, are encouraged to apply.

Only library faculty and staff from I-Share libraries may be selected to serve on I-Share users groups or teams. Current committee members whose term will expire June 30, 2009, and who want to serve another term, should submit a new volunteer form.

The following CARLI Working Groups, Users' Groups, and Teams are currently seeking members:

Charges for the various groups and teams can be found on the CARLI web site. Members of the CARLI library community may volunteer by filling out the online form by April 30, 2009. All new committee members will officially begin work on July 1, 2009.

NOTE: In order to ensure that we have current information and expressions of interest, the nominations database is purged at the beginning of the annual nomination cycle each spring. Only submissions dated between March 12, 2009 and April 30, 2009 will be used to make appointments for terms beginning July 1, 2009. If you wish to serve on a committee, please fill out the online form, even if you had done so previously.

Voting for CARLI Board of Directors to Begin May 4th

Voting is set to begin on May 4 in the election to fill four Governing Member seats on the CARLI Board of Directors. One Governing Board member each will be elected from the community college sector, the private institution sector, and the public university sector, and one member will be elected at-large. Successful candidates will serve three-year terms, from July 1, 2009 through June 30, 2012.

An announcement will be sent to the Governing Directors via email when the online ballot is available. The voting period will run from Monday, May 4 until 5:00 p.m., Friday, May 29, 2009.

Kristine Hammerstrand Elected to ELUNA Steering Committee

Kristine Hammerstrand, Director, CARLI User Services, has been elected to a two-year term on the Ex Libris Users of North America (ELUNA) Steering Committee. Her term will begin at the ELUNA conference in May. ELUNA serves as an educational group for users of Ex Libris’ products, including Voyager and SFX, and represents the needs of product users to Ex Libris.

Other committee members elected this year are:

  • Pascal Calarco (University of Notre Dame).  Re-elected, Incoming Chair.
  • Laura Morse (Harvard University). New member.
  • Bob Trotter (University System of Georgia). Re-elected.

The following people will remain on the Steering Committee for another year:

Collections

Last Copy Pilot Project Begins

CARLI is pleased to announce the launch of a one-year Last Copy Pilot Project to retain the last copy of library materials in Illinois. This program will allow any CARLI library that wishes to donate a last copy to a library that has agreed to accept last copy material and to continue to make it available for resource sharing.

What is a last copy? For this project, materials must meet the following criteria:

  • Must be the last copy in Illinois, as confirmed through I-Share and WorldCat
  • Must be bibliographically complete, with no missing volumes
  • Must be cataloged at least at the core (M) level
  • Must be completely free of mold, mildew, and insectsMaterials may not include theses or dissertations filmed by ProQuest, retail catalogs, ERIC fiche, or government documents

Libraries interested in offering materials will complete a simple web form to initiate the process. The form includes donor information, basic bibliographic information, the number of copies in Illinois as determined by checking both I-Share and WorldCat, the number of copies in WorldCat, and the MARC record for the item. The University of Illinois at Urbana-Champaign will review all materials offered. Any item that does not fit the parameters for their collection will be offered to other research libraries in the state.

CARLI Members Eligible to Participate in New UIUC Monograph Vendor Contract

The University of Illinois at Urbana-Champaign has signed a contract with YBP Library Services to supply monographs published in the U.S. and the U.K. YBP has agreed to extend this offer to all CARLI member institutions. The contract covers approval, firm orders and standing orders for a three-year term beginning July 1, 2009. The contract includes the option to renew for an additional two-year period.

The YBP vendor interface allows libraries to work together to purchase new book titles, allowing libraries to view new orders made or under review. Libraries may utilize common tools offered by YBP to help inform their collection decisions while factoring in the title and/or copy availability across the CARLI membership. Other consortia that have worked together to build their collective monograph collections include OhioLink, Colorado Alliance, and Orbis Cascade Alliance.

Illinois Public Higher Education Cooperative/Council of Directors of State University Libraries in Illinois members, i.e. state institutions, will need to contact their purchasing office for more information on the contract sharing options. CARLI members who are not IPHEC/CODUSLI libraries should email support@carli.illinois.edu to request a summary of the contract terms, or contact Michael Walmsley, YBP, Director of Sales.

Digital Collections

CARLI Digital Preservation Forum

Mark your calendars! The CARLI Digital Collections Users’ Group is pleased to announce their summer forum: “Ensuring Enduring Access: A Forum on Digital Preservation.” The forum will be held on July 21, 2009, at the I Hotel and Conference Center in Champaign.

E-Resources

FY 2010 Database Selection Period Now Open

The password-protected CARLI selection database is now available. The selection period will remain open until May 15, 2009. E-Resources Contacts and subscribers to the Collections and Content Group (CCG) email list should have already received a detailed announcement, along with instructions and a complete list of the products available and the vendors providing access.

Previously distributed institutional Login ID’s and passwords remain valid. If you did not obtain an ID/password, or have misplaced it, please email support@carli.illinois.edu with the subject line: FY2010 selection period.

As in Fall 2008, only CARLI Governing, Associate and Basic member institutions will be eligible to participate in the database brokering program. Institutions that joined CARLI as Basic members will be assessed a handling fee of $50 for each database selected.

Special Pricing Available: Serials Solutions 360 Resource Manager

CARLI is pleased to announce special discounted pricing for Serials Solutions’ Electronic Resource Management System (ERMS): 360 Resource Manager and their complementary product 360 Counter. This pricing is a result of a Request for Proposals (RFP) that CARLI released last fall and is offered to CARLI Governing and Associate members.

CARLI has put together a brief survey to gauge interest in this offering. Please take a moment to complete the survey.

If you are interested in taking advantage of this offer during the remaining months of FY2009, please be sure to respond to the survey by May 1. If you indicate that you are interested, a CARLI staff member will contact you with pricing for your library. A statement of interest on this survey is not a commitment to participate in the CARLI agreement. Serials Solutions is also contacting CARLI libraries about this offer.

I-Share

Update on CARLI's June I-Share Voyager Upgrade

CARLI is planning to upgrade Voyager, the software that supports I-Share's local and universal catalogs on Monday, June 15. CARLI staff are asking I-Share libraries to plan for limited access to I-Share from June 15 to June 17. Specifically, please plan for the public catalog being available in "read-only" mode, i.e., available for searching only and with no request functionality, until the upgrade is completed. Staff-use Voyager functionality, with the exception of offline circulation, will be unavailable while the upgrade is in process. CARLI is still looking at several options for reducing the duration of the upgrade, but as we are still conducting tests on a pre-release version of the software, we are still asking libraries to plan for the cautious 3-day timeline.

CARLI has created an upgrade web page. As more details become available, that information will be shared with I-Share libraries via email and the CARLI Voyager upgrade web page. CARLI will be hosting a series of webinars about the upgrade in May and June. Watch for email and information on the upgrade web page about dates, and registration.

Registration Open for Liaison's Forum


The CARLI I-Share User’s Group (IUG) is pleased to invite all I-Share Liaisons to an I-Share Liaisons’ forum, Thursday, May 21, 2009 from 9:30 a.m.-3:00 p.m., at the I Hotel and Conference Center in Champaign.

The Forum will focus on both the short and longer term future of I-Share: the agenda includes a session on the June Voyager upgrade as well as a session that will continue the “future ILS” visioning discussions the CARLI Board held with library directors this winter.

Online Tutorial Creation Workshops

The I-Share Instruction Team is pleased to announce hands-on tutorial creation workshops for online library-related tutorials!

These workshops are designed for librarians with limited time and resources for creating online tutorials. Attendees will learn the best practices of online tutorial creation, view and discuss example tutorials, learn about the free screencasting program Wink, workshop an individualized tutorial script, and practice screencasting with one-on-one assistance from members of the Instruction Team.

Dates:

  • Friday, June 5 at the CARLI Office in Champaign, IL, 9:30am-3:30pm
  • Friday, June 12 at Columbia College Chicago, 9:30am-3:30pm

The workshop is free and open to all I-Share libraries, but registration is required.  Each workshop is limited to 15 participants to ensure ample hands-on time and will be limited initially to one person per institution. The content of the two sessions will be identical; please register for only one. Deadline for registration is Friday, May 29, 2009.

SFX Hackfest Spring 2009

CARLI is hosting SFX Hackfest Spring 2009 to facilitate the adoption of SFX management and maintenance best practices. The event will take place on Wednesday, May 20, 2009, at the CARLI office. On this day SFX administrators can set their other work aside and focus on SFX tasks in a supported environment.

Registrants should come prepared with questions and tasks they would like to accomplish.

Registration is required for this event and attendance is limited to 16 participants. Attendees must register by Friday, May 15.

Access Reports "H-Acq" Fest

CARLI is pleased to offer its first "H-Acq" Fest for those of you who have been working with Voyager Access queries for Acquisitions and/or Serials needs and would like a workday to spend with other Access query writers in a focused environment. The "H-Acq" Fest will be held at the CARLI Office on June 9, 2009. Attendees will need to bring their own laptop that has ODBC installed and configured for their library.

Fiscal Period Close Conference Calls

It's that time of year (almost!)

The CARLI Office has scheduled 2 open conference calls about Fiscal Period Close (Rollover). Please call in with questions, concerns, and/or expertise on Fiscal Period Close. This call will be facilitated by CARLI Staff, who encourage FPC veterans to call in and share their expertise!

Hold the date: Burn Simulation and Recovery Workshops

Do you have a plan if your library has a fire? How do you recover? Does your institution have a disaster plan? Has it been updated in the past year? Where on earth do you start?

The CARLI Preservation Working Group, working with the University of Illinois Fire Services Institute, is offering a Burn Simulation and Recovery Workshop. The workshops will be held on June 9th and June 11th in Champaign. The content of the two sessions will be identical

In the morning, Sarah McHone-Chase from Northern Illinois University will discuss a distributed model of disaster planning. This type of disaster planning does not require a single staff person to be wholly responsible for the plan’s execution.

The remaining portion of the morning will include an introduction to salvage, a talk from a fire marshal, and a video of a burn. After lunch, the Fire Services staff will hold a simulated burn, and then members of the CARLI Preservation Working group will work with attendees on a hands-on salvage/recovery of materials.

Do One Thing for Emergency Preparedness on MayDay


Join libraries, museums, archives, and arts and historic preservation organizations across the nation on May 1, 2009 by participating in MayDay, a national effort to prepare for disasters.

Sponsored by Heritage Preservation and other members of the Heritage Emergency National Task Force, MayDay encourages organizations to take one simple step to protect the art, artifacts, records, and historic sites they hold in trust.

Preservation Tip: Preservation in the Blogosphere

This preservation tip is a “meta-tip” of sorts that involves sharing preservation tips in the blogosphere.

Like the library world, the blogosphere is all about sharing. A blog is an easily accessible communication tool that allows us to swap ideas and search each other’s everyday preservation thoughts. Blogging is online journaling; a place for the blogger to say “here’s what I’m working on” and “this is how I did it” or “this is what I think” and “did you hear about this?” Preservation bloggers can post pictures as well as video clips of projects, permitting the viewer to actually see the details of a process. Blogs also let the reader post comments back to the blogger, allowing for questions and conversation. In general, a blog offers an opportune interactive source for preservation news, networking and know-how.

What good-quality preservation-related sites reside out in the blogosphere? The following is a sampling; Library Preservation is the work of a Michigan librarian who shares photos of his preservation projects, announcements about workshops and conferences, and current events regarding preservation and book repair. The University of Iowa’s Preservation department hosts a blog entitled Preservation Beat where many of the recent posts have been devoted to recovery efforts for items damaged in last year’s flooding. The Vespiary shares the thoughts of a Montana book conservator who is busy “fixin’ books in the wild west.”

Archiving tips directed toward genealogists come from the Practical Archivist. Other blogs reflect perspectives from a variety of areas that interconnect with the preservation world. The head of Northern Illinois University’s Rare Books and Special Collections department offers Confessions of a Curator and Digitization 101 is a consultant’s site presenting information on digital preservation.

For everyday practices, issue awareness, educational opportunities and general connectedness to the various realms of Preservation, boldly go and explore what the blogosphere has to offer.

Regional Open Houses

When the spring semester comes to an end, do you find you’re in the mood to get out, to see new sights, to explore a different terrain? The CARLI Public Services Working Group (PSWG) invites you to come along for the ride as we visit five CARLI libraries on three different days:

  • Heartland Community College and Illinois State University (Normal, IL) on Friday, May 22nd
  • John Wood Community College and Quincy University (Quincy, IL) on Friday, May 29th; and
  • Northwestern University (Evanston, IL) on Wednesday, June 24th.

These visits will go well beyond simple tours of the host libraries. They are designed to encourage dialogue about public services practices, problems, and ideas. You’ll have ample opportunities to network with your peers, to learn about the host libraries’ public services practices, and to share experiences from your home library. Refreshments will be provided.

Mark Your Calendars for the CARLI Annual Meeting

The CARLI Annual Meeting will be held on Friday, October 30th at the I Hotel and Conference Center, Champaign. The theme of the meeting will be "Finding Opportunities in a Time of Economic Crisis." We will hold breakfast meetings of the Governing Directors and the CARLI Committee Chairs beginning at 8:30 a.m., before the Annual Meeting.

News from CARLI Libraries

Morris Library Rededicated April 16

Congratulations to Morris Library at Southern Illinois University Carbondale. After nearly four years and $56.7 million, Morris Library recently celebrated the completion of extensive renovations of the basement and first through fifth floors, with a rededication ceremony that included a ribbon cutting and a book signing. Changes to the building include an information commons on the first floor, a new coffee shop, 200-seat auditorium, a new layout and entrances to improve traffic flow, and a much-needed upgrade to the building mechanical systems. Renovations to the sixth and seventh floors are underway. A library patio, designed to feature architectural remnants from SIU Carbondale's historic Old Main facility will be added at a future date.

Registration is Open for “Our Monograph Collection: A Call for Collaboration"


Registration is now open for the statewide library conference titled "Our I-Share Monograph Collection: A Call for Collaboration." The conference will be held at the  I Hotel and Conference Center, Champaign, on June 10th, 2009, 9:30 a.m. to 3 p.m.

Registration is free. Lunch will be provided. To register please send an email to Lori Miller. Include your name, academic library name, position title and contact email address.

The featured keynote speaker, Julia Gammon, will share the results of a recent OhioLINK assessment project on statewide monograph collections in Ohio. The conference will also include a presentation of data and results from a recent CARLI Collections Enhancement Awards funded research project assessing Illinois' I-Share monograph collection and the use of that collection.  Your participation is needed to provide comments and to help plan for the future direction of our statewide, shared monograph collection.

This conference and the research project "I-Share Monograph Collection Assessment: What are we buying and how is it used?" have been funded by a CARLI Access and Analysis Award, managed by Tina Chrzastowski and Lynn Wiley, Co-Primary Investigators.
