Call for Nominations—2009 CARLI Board of Directors Election
CARLI is seeking nominations for candidates to fill four Governing Member seats on the CARLI Board of Directors. The Board of Directors is the governing authority of the Consortium of Academic and Research Libraries in Illinois.
Each year CARLI Governing Members elect one Board member from each of three specified constituencies (public universities, community colleges, and private colleges and universities) and one Board member at-large. Successful candidates will serve three-year terms, July 1, 2009 through June 30, 2012. Any employee of a CARLI Governing Member institution is eligible to serve on the Board of Directors. Members of the CARLI community may nominate themselves or others (permission of the nominee is required when nominating others) by filling out the online nomination form. All nominations will be reviewed and a slate of candidates developed by the CARLI Nominating Committee comprising Jan Chindlund (Columbia College-Chicago), Paula Kaufman (University of Illinois at Urbana-Champaign), Anna Maria Watkin (Parkland College), and Tom Dorst (CARLI). The nomination period will run from Tuesday, March 10 until 5:00PM, Friday, April 17, 2009.
CARLI Needs Your Feedback
CARLI is conducting a brief survey to gather information about your satisfaction with selected CARLI services and products, the importance of some of our programs, and the effectiveness of your interactions with CARLI.
If you haven’t already done so, we encourage you to take 10 minutes to complete the survey by April 3. The survey is appropriate for any staff member of any CARLI member library. Please encourage your colleagues to complete the survey by passing this information on to anyone who might not see this newsletter. Volunteer for a CARLI Committee
CARLI currently has openings on various teams and working/user groups and we encourage you to volunteer! Faculty and staff members from all CARLI Governing member libraries, with all levels of experience, are encouraged to apply.
Only library faculty and staff from I-Share libraries may be selected to serve on I-Share users groups or teams. Current committee members whose term will expire June 30, 2009, and who want to serve another term, should submit a new volunteer form.

Charges for the various groups and teams can be found on the committee page of the CARLI web site. Members of the CARLI library community may volunteer by filling out the online form by April 30, 2009. All new committee members will officially begin work on July 1, 2009. NOTE: In order to ensure that we have current information and expressions of interest, the nominations database is purged at the beginning of the annual nomination cycle each spring. Only submissions dated between March 12, 2009 and April 30, 2009 will be used to make appointments for terms beginning July 1, 2009. If you wish to serve on a committee, please fill out the online form, even if you had previously done so.
Register for SFX Hackfest Spring 2009
CARLI is hosting SFX Hackfest Spring 2009 to facilitate the adoption of SFX management and maintenance best practices. The event will take place on Wednesday, May 20, 2009, at the CARLI office. On this day SFX administrators can set their other work aside and focus on SFX tasks in a supported environment. Registrants should come prepared with questions and tasks they would like to accomplish. Registration is required for this event and attendance is limited to 16 participants. Attendees must register online by Friday, May 15.

Collections
CARLI Members Eligible to Participate in New UIUC Monograph Vendor Contract
The University of Illinois at Urbana-Champaign has signed a contract with YBP Library Services to supply monographs published in the U.S. and the U.K. YBP has agreed to extend this offer to all CARLI member institutions. The contract covers approval, firm orders and standing orders for a three-year term beginning July 1, 2009. The contract includes the option to renew for an additional two-year period.
The YBP vendor interface allows libraries to work together to purchase new book titles, allowing libraries to view new orders made or under review. Libraries may utilize common tools offered by YBP to help inform their collection decisions while factoring in the title and/or copy availability across the CARLI membership. Other consortia that have worked together to build their collective monograph collections include OhioLink, Colorado Alliance, and Orbis Cascade Alliance.
Illinois Public Higher Education Cooperative/Council of Directors of State University Libraries in Illinois members, i.e. state institutions, will need to contact their purchasing office for more information on the contract sharing options. CARLI members who are not IPHEC/CODUSLI libraries should email support@carli.illinois.edu to request a summary of the contract terms, or contact Michael Walmsley, YBP, Director of Sales.
Upcoming Pilot Projects
CARLI is launching a one-year pilot project to retain the last copy of library materials in Illinois. The project will allow any CARLI library that seeks to withdraw the last copy of a book to donate it to a library that will retain the title for resource sharing in Illinois. Libraries interested in offering materials will complete a simple web form to initiate the process. CARLI expects to launch the pilot with member libraries by mid-April. More details are forthcoming.
At their March meeting, the CARLI Board also approved $5000 in matching funds for a pilot project to support user-initiated book purchases by I-Share libraries. A task force has been created to work out the details of the pilot.
E-Resources
Outcome of Aggregated Database Request for Proposal
The University of Illinois Board of Trustees has approved the recommendation of the CARLI Aggregated Database Task Force to contract with EBSCO Publishing, Inc. to provide full-text journals for the benefit of students and faculty at CARLI member institutions.
The new agreement will provide continued access to databases from EBSCO Publishing including Academic Search Premier and Business Source Elite for FY2010. These fully subsidized resources are available to CARLI Basic, Associate and Governing member institutions.
Spring Database Subscription Period Opening Soon
The FY2010 Spring Database Selection Period is tentatively set to run April 15-May 27, 2009. CARLI staff are gathering final database pricing from vendors and will post a detailed announcement and instructions to E-Resources Contacts and CCG listservs when the password-protected CARLI selection database is available.
We are pleased to announce that, in an effort to assist CARLI member libraries, several of our vendors have provided pricing that will not be increasing over their prices for FY09. These include Wilson, Gale, Solinet/Lexis-Nexis, and The Chronicle of Higher Education. EBSCO and ProQuest/CSA were able to keep pricing the same for some of their databases. We are grateful for their help during this difficult fiscal period.
As in Fall 2008, only CARLI Governing, Associate and Basic member institutions will be eligible to participate in the database brokering program. Institutions that joined CARLI as Basic members will be assessed a handling fee of $50 for each database selected. Gale-Cengage Trial
In preparation for the upcoming Spring renewals through CARLI, Gale-Cengage is providing a trial site designed specifically for CARLI members. The trial site will allow you to evaluate many Gale databases including their newest databases: Global Issues in Context, Dictionary of Literary Biography Complete Online and Something About the Author Online. The site will remain active until May 29, 2009.

“The American West” Offer from Adam Matthew Digital
CARLI has received a special offer for “The American West”, a new product from Adam Matthew Digital. The collection includes original manuscripts, maps, ephemeral material, rare printed sources and contextual material covering the period 1722 to 1939 from the Everett D. Graff Collection of Western Americana at the Newberry Library, Chicago. The Graff Collection at the Newberry Library is widely regarded as one of the finest collections of Western Americana in existence.
Details were emailed to the E-Resources Contacts and CCG listservs earlier this month. As with the previous products offered by Adam Matthew, this offer is direct to CARLI member libraries. CARLI will not be brokering this purchase. If you have questions about this offer or other products from Adam Matthew Digital, please contact Ben Cartwright.
I-Share
"Text Me This Call Number" from VuFind
The "text me this call number" feature that has been available in WebVoyage is now available in VuFind as well. The "text me this call number" link will display immediately below the call number on the single-title Record page.
This feature has proved to be extremely popular with cell phone users. It is available in the I-Share/WebVoyage Universal Catalog and also in each I-Share library's local instance of WebVoyage, at the library's request. To add "text me this call number" to VuFind or WebVoyage, the I-Share library liaison may simply send a note to support@carli.illinois.edu.
Voyager Upgrade Planned for June 2009
CARLI staff are proceeding with plans to upgrade I-Share from Voyager 6.5.3 to Voyager 7 on June 15-17, 2009. Please mark your calendar, particularly if you are the library's I-Share liaison, and/or the person who installs the Voyager clients. We will attempt to streamline the upgrade so that it can be completed quickly and we will strive to keep public catalog searching available throughout the upgrade, as much as possible.
As we have done in previous upgrades, CARLI will establish "alternate" training databases, upgraded to the new release, in advance of the upgrade to the production and "primary" training databases. The I-Share Liaisons will receive detailed information about the changes to the training database in the very near future.
We expect to receive a pre-release version of 7.1 for testing in mid-April. However, we may implement version 7.0.3 or 7.0.4 if 7.1 is delayed or is problematic. More detailed information on the upgrade will be available as CARLI staff complete their testing.

Voyager Acquisitions Frequently Asked Questions (and Answers) Web Page
IUG Acquisitions & Serials Team has developed a new web page, Voyager Acquisitions Frequently Asked Questions (and Answers). The new page focuses on the Voyager Acquisitions module. It includes questions that have been raised at training sessions, at forums, or that have been submitted to support@carli.illinois.edu.
The team plans to keep this page as up-to-date as possible, adding new questions (and answers) as they arise. If you have questions that you would like to see addressed in this FAQ please send an email to support@carli.illinois.edu.
New and Improved Documentation: I-Share Annual Statistics Package
The IUG Ad Hoc Task Force on Statistics and Reports has completed a significant revision of the document that describes the I-Share Annual Stats Package and some new reports. The new documentation is available at http://www.carli.illinois.edu/mem-prod/I-Share/i-sysdocs/I-network/statspck.html.
The new document includes descriptions of the three new reports that libraries will be receiving in the package:
- Collection Stat #10—Items Lost Missing or Withdrawn
- Circulation Stat #6—Circulation by Patron Group and Item Type
- Circulation Stat #7—Charges by Circ Happening Location, Item Type and Item Location
Also included in the new documentation are strategic line-by-line suggestions about which data from the I-Share Statistics package to use for filing out the forms when providing statistics to external agencies.
During the recent IUG Reports Forum sessions, these revisions were discussed. Attendees were interested in seeing the new reports, so CARLI staff generated them with Fiscal Year 2008 data. The reports are now available in each I-Share library's FTP account:

The CARLI I-Share User's Group (IUG) is planning a Liaison's Forum to be held at the I Hotel in Champaign, on May 21st from 10:00-3:00. Please save the date, and plan to attend. Register for the First-Ever Access Reports “H-Acq” Fest
CARLI is pleased to offer its first “H-Acq” Fest for those of you who have been working with Vooyager Access queries for Acquisitions and/or Serials needs and would like a workday to spend with other Access query writers in a focused environment. The “H-Acq” Fest will be held at the CARLI Office on June 9, 2009. Attendees will need to bring their own laptop that has ODBC installed and configured for their library.

Voyager Analyzer
CARLI has cancelled its license of ExLibris’ Analyzer reporting tool as of March 6, 2009. CARLI acquired Analyzer from Endeavor Information Systems, Inc. in 2006, prior to its merger with ExLibris, with the hope that Analyzer would provide a web-based reporting environment for Voyager; thereby making the process of writing and running Voyager reports more widely accessible to I-Share library staff. Unfortunately the Analyzer project was beset with a number of problems from the start.
In light of the current fiscal climate,CARLI staff recommended to the CARLI Board of Directors that the Analyzer contract be cancelled, thereby eliminating any further payment obligations for the software. ExLibris has been notified of this cancellation. CARLI staff are disappointed that the promise of delivering an easier reporting tool to our I-Share libraries did not come to fruition with Analyzer, but believe that suspending the product at this time is appropriate.
I-Share Data
CARLI will now be performing I-Share data extracts on a cost recovery model. A “data extract” is a request from a participating library to have CARLI make the library a copy of some or all of the library’s bibliographic data in I-Share. Under the new pricing model routine extractions and compilations of I-Share data will be done at no direct cost to the requesting library, with a cost recovery model to be used for more complex or comprehensive projects.
At their March 6 meeting, the CARLI Board approved a pricing model for I-Share data extractions. CARLI is developing documentation and request forms for the new data extract processes and will be forwarding this information to I-Share libraries as soon as it is available.
Preservation
Preservation Tip: Mold! How to Avoid it Completely
The Preservation Tip in the last newsletter described how to identify the two states of mold, active and inactive. Now more on avoiding it altogether!
Avoiding Mold The best way to beat mold is to not have an outbreak to begin with. Mold can be avoided with a few simple steps.
- Keep your collection environment reasonably dry. Mold prefers moist environments, so keeping the relative humidity (RH%) in your collection space below 60% will discourage mold growth.
- Keep your collection environment reasonably cool. Mold also prefers a warm environment to flourish. Keeping your space below 80º Fahrenheit, or ideally below 70º will also discourage mold.
- Keep air circulation up. To germinate, airborne mold spores must be able to settle on an item and remain undisturbed. By keeping your air moving around your collection, germination is more challenging.
- Keep your collection clean. Even if you don’t have a mold problem, mold spores exist everywhere and can build up in the dust that accumulates on library materials and shelves. Be sure to clean regularly to reduce the potential for a mold outbreak.

OCLC Review Board Survey on Shared Data Creation and Stewardship
The OCLC Review Board on Shared Data Creation and Stewardship is seeking your participation in a Web-based survey of librarians and other interested constituents. The primary goal of this survey is to gather input from both OCLC members and non-members about a proposed OCLC policy, Policy for Use and Transfer of WorldCat(r) Records. The Review Board will consider the results of this survey in their recommendations to OCLC.

Obama License Plate
Secretary of State and State Librarian Jesse White and the Illinois Library Association (ILA) are pleased to announce the availability of an official Barack Obama special event Illinois license plate.
The plates are available for purchase at the ILA web site. Proceeds will help support the ILA's activities including iREAD, the summer reading program for Illinois youth. The special event license plates, which read "Illinois Salutes President Barack Obama", are unique commemorative plates that can be displayed until April 17. After this date, the Obama license plate will be available for purchase to anyone nationwide as a collectible.
Training Grant for The Master of Library and Information Science Degree

In the News
Mischo Wins of 2009 Kilgour Award for Research in Library and Information Technology
William H. Mischo, head of the Grainger Engineering Library and Information Center at the University of Illinois at Urbana-Champaign Library, is the winner of the 2009 Frederick G. Kilgour Award for Research in Library and Information Technology for his three-decades-long work on the design of user-centered information retrieval tools and services.
The award from the Library & Information Technology Association (LITA) and jointly sponsored by OCLC, is given for research relevant to the development of information technologies, especially work that shows promise of having a positive and substantive impact on any aspect(s) of the publication, storage, retrieval and dissemination of information, or the processes by which information and data are manipulated and managed.
Fitzwater Receives ACRL Community and Junior College Libraries Program Award
The Association of College and Research Libraries (ACRL) has chosen Diana Fitzwater to receive the 2009 Community and Junior College Libraries Section (CJCLS) EBSCO Community College Learning Resources Program Achievement Award for her involvement with embedding information literacy as a general education competency within the College of DuPage curriculum. Fitzwater is a professor and reference librarian at the College of DuPage.
Blackwell’s Scholarship Award honors Schmidt, Shelburne and Vess
The Association for Library Collections & Technical Services (ALCTS) has awarded the Blackwell’s Scholarship Award for 2009 to Karen Schmidt, Wendy Allen Shelburne and David Steven Vess for their article entitled: "Approaches to Selection, Access, and Collection Development in the Web World: A Case Study with Fugitive Literature,” published in Library Resources & Technical Services, volume 52, issue 3, July 2008, pages 184-191. The Blackwell’s Scholarship Award honors the author of the year’s outstanding monograph or article in the field of acquisitions, collection development and related areas of resources development in libraries.
Hinchliffe, Woodard Honored with ACRL Special Presidential Recognition Award
ACRL has honored University of Illinois at Urbana-Champaign librarians Lisa Janicke Hinchliffe and Beth S. Woodard, with a Special Presidential Recognition Award as founding faculty members of ACRL's Institute for Information Literacy Immersion Program. The Immersion Program provides instruction librarians the opportunity to work intensively for four-and-a-half days on all aspects of information literacy.
