CARLI Annual Meeting
We’re looking forward to seeing you at the CARLI Annual Meeting on Friday, October 30 at the I Hotel and Conference Center in Champaign. Throughout the day, we’ll address the effects of the economic crisis in all libraries. How are institutions managing the current economic situation? How can libraries take advantage of the opportunities that arise? How can libraries use CARLI to take advantage of opportunities? How are publishers facing economic crisis? How can publishers and libraries work together in the time of crisis? The morning agenda will offer an opportunity for libraries to share their strategies. We encourage you to join the discussion.
Board Recommends Bylaws Changes, Approves Cost Sharing Model
The CARLI Board met on September 25th at the CARLI Office. By unanimous action at the meeting the Board accepted the recommendations of the Governance Task Force that the membership consider and approve a series of changes in the Bylaws of the consortium. The proposed changes to the Bylaws represent the logical evolution of CARLI’s structure and governance. The recommendations include the reduction in the number of membership categories from three to two and a change in the way that the seats on the Board are distributed and selected. CARLI Governing Directors will vote on the Bylaws changes beginning in mid-November.
At their meeting the Board also approved a cost-sharing model for selected products and services. The products and services affected by the cost-sharing model are the Chronicle of Higher Education, Oxford English Dictionary, MLNC membership, and SFX maintenance costs. The new cost-sharing model will begin in FY2012 (July 2011.) During FY2011 (July 1, 2010 – June 30, 2011) CARLI will work with libraries to determine their continued interest in these products and work with the affected vendors to revise the appropriate vendor agreements.

WebFeat and CARLI Federated Search Options
The current WebFeat contract expires in March 2010, and CARLI will discontinue providing fully subsidized access to the WebFeat federated search product. Additionally, the WebFeat product is scheduled to be completely discontinued by the end of calendar 2010. Although CARLI will not be subsidizing or brokering any federated search products after March 2010, the following three vendors have agreed to provide discounted pricing to CARLI libraries that wish to continue or to implement a federated search option: Serials Solutions is the current provider of WebFeat and is launching a new version of their primary federated search product, 360 Search. While WebFeat is being phased out in late calendar year 2010, Serials Solutions is offering “bridge” pricing for any CARLI WebFeat libraries that wish to extend their WebFeat service from March through June 30, 2010. Serials Solutions is also offering discounted prices to CARLI libraries for the new 360 Search, and additional discounts to any subscribers before April 30, 2010. Serials Solutions will soon be contacting current WebFeat libraries to provide the “bridge” pricing for WebFeat as well as pricing for 360 Search. CARLI libraries not currently using WebFeat that are interested in learning more about 360 Search, should contact Serials Solutions representative Don Litner. ExLibris offers Metalib as their federated search product, and this product is also being offered at a discounted price to CARLI libraries. Metalib is hosted by ExLibris. EBSCO has also just announced EBSCOhost Integrated Search (EHIS), which offers federated searching to EBSCOhost products as well as other electronic resources. EBSCO is also offering a CARLI discount on this new service. Additional information, including pricing, is available from Tim Heiges. All of these three companies plan to offer webinars on their products over the next few weeks. As the dates are established, the webinars will be announced on CARLI email lists. Any of these vendors may be contacted now or after the webinars to find out more about the products being offered and to obtain pricing. CARLI will not be including any of the services listed above in the CARLI brokered service selection system. Libraries interested in acquiring these products will need to work directly with the respective vendors on licensing and billing. CARLI is not recommending one product over the other, and CARLI libraries may select any of these federated search services.
Elizabeth Clarage Elected President of IACRL
Elizabeth Clarage, Director, CARLI Collections Services, has been elected President of the Illinois Association of College and Research Libraries (IACRL). Clarage will serve as President-elect until September 2010, when her one-year term as President will begin. IACRL is a forum of the Illinois Library Association (ILA) and a chapter of the Association of College and Research Libraries (ACRL), a division of the American Library Association (ALA).
E-Resources
Fall Database Subscription Period Opening Soon
The CARLI Fall Database Subscription Period will open soon. In addition to the renewing products, the fall selection period will include new products ARTstor, JSTOR and Nature.
CARLI staff will post a detailed announcement and instructions to the Collections & Content Group (CCG) email list when the password-protected CARLI selection database is available. As in Spring 2009, only CARLI Governing, Associate and Basic member institutions will be eligible to participate in the database brokering program. Institutions that joined CARLI as Basic members will be assessed a handling fee of $50 for each database selected. Springer eBook Offer
A new ebook offer from Springer is available to CARLI libraries through the end of November. Confidential pricing has been emailed to E-Resources Contacts and the CCG email list. Credo Reference Webinar Invitation for CARLI Members
All CARLI members are invited to free a WebEx demonstration of the new Credo Reference platform, at 1:00 pm on Wednesday, October 28. The session will last approximately an hour and will cover content, new platform features, search functionality, the administrative system, and other features.

I-Share
Recent Modifications in VuFind
The CARLI version of VuFind was recently modified so that users may place Universal Borrowing requests (patron from Library A, items from library B) for more than one item attached to a single bibliographic record. This means that, for instance, all three volumes of a triple-decker novel are requestable. This functionality mirrors functionality that was already present in WebVoyage.
In addition, after they log in, users affiliated with I-Share libraries that do not support call slip requests will no longer be presented with the "Request" option on records that belong to their home library. Universal Borrowing requests are still supported in CARLI's implementation of VuFind.

eXtensible Catalog (XC) Update
The eXtensible Catalog (XC) Project team, Jennifer Bowen, David Lindahl and Randall Cook, joined the September CARLI Board meeting via web conference. The team provided an update on the status of their work to design and develop a set of open-source applications that will provide libraries with an alternative way to reveal their collections to library users. XC expects to begin rolling out toolkits in early 2010.
CARLI is working with XC to develop an NCIP driver that is compatible with our consortial Voyager application. Our goal is to offer XC as a discovery layer for Voyager, in addition to VuFind and WebVoyage.
Following the web conference, the CARLI Board approved the motion to become a Founding Sponsor of XC. Information about XC is available on their project web site.
I-Share Best Practices

Online Tutorial Creation Workshop Documents Available Online
Handouts from the popular Online Tutorial Creation workshops held in June are now available on the CARLI web site,
The materials include tutorial creation resources, best practices and examples, along with a brief overview of the free screencasting program Wink, and an overview of other software that can be used to create online tutorials.
Based on the popularity of the workshops, the Instruction Team is repeating these workshops on November 6 at Dominican University, and on November 13 at Chicago State University. To place your name on the waiting list for these programs, visit the registration page.
ICAT Fall Forum Webinars December 2 and 3
Based on feedback from attendees at the spring forum, and the need to accommodate reduced travel budgets, the I-Share Cataloging and Authority Control (ICAT) team will hold a series of web-based sessions rather than one in-person meeting as they have done in the past.
The Forum will consist of up to 4 sessions, each on a different topic. The topics/agenda for the sessions are still being finalized, but please save these dates on your calendar:
- Dec 2 from 10 am to 12 noon
- Dec 2 from 1:30 pm to 3:30 pm
- Dec 3 from 10 am to 12 noon
- Dec 3 from 1:30 pm to 3:30 pm

Preservation Tip: Food and Drinks in the Library
Students and faculty of today are used to conducting business on the go. Whether it’s talking with friends/colleagues, doing homework or preparing for class, students and faculty in the 21st Century are multi-tasking much of their day that includes eating snacks and drinking coffee on the run in between classes. And, often, we see them in our libraries during those times.
The prohibition of food and beverages in libraries is, for the most part, shifting towards a more lenient approach. Experience tells us that most “NO FOOD OR DRINK” policies are difficult to enforce, and that hidden spills and food (often found much later) create more problems by attracting uninvited visitors that do not leave the library after hours, namely—mold, mildew and insects.
Today, many libraries, following the lead of bookstores, are open to visitors bringing along snacks and covered drinks while they study for comfort and convenience. Some support coffee carts or cafés as a way of raising revenue, providing a welcoming social environment and spreading good will on our campuses.
Here are some tips that you can use to educate visitors in your library to assist in keeping these conditions at bay:
- Develop a food/drink policy or statement appropriate for your institution or collection.
- Establish designated areas for food and drink consumption in your library (where applicable).
- Let users know that food and drink pose serious risks to library collections, equipment, furnishings and facilities, and to report any spills to library staff immediately.
- Have proper waste and recycling receptacles throughout areas where food/drink is permitted.
- Determine the types of snack and drinks, which are acceptable for your library, including the types of beverage containers allowed (e.g., spill-proof beverage containers such as re-sealable mugs, sports bottles with closeable spouts, and capped plastic water bottles) and types of food allowed. Foods that are oily or have an “aroma” should be prohibited.
- Have a visual display of what can happen when food or drinks damage library materials.
- If your budget allows, provide acceptable beverage containers for sale or to give away as a marketing opportunity for your library.
Last Copy Pilot
The Last Copy pilot launched in late April. Over 950 items have been offered for donation, of which over 95% have been accepted. To date, no institution has offered to accept VHS or LP formats. If your institution is interested in accepting these formats as a last copy, please contact support@carli.illinois.edu. The pilot will continue through May 2010.

Berry Named Academic Librarian of the Year
John W. Berry, Executive Director of the Network of Illinois Learning Resources in Community Colleges (NILRC), has been selected as the 2009 Illinois Academic Librarian of the Year. The award is presented by the Illinois Association of College and Research Libraries (IACRL) Forum and the Consortium of Academic and Research Libraries of Illinois (CARLI) in recognition of notable service to the Forum and to the Illinois Library Association, and for leadership and exemplary library service in an academic setting.

Samuel Lazerow Fellowship for Research in Collections and Technical Services in Academic and Research Libraries
ACRL is seeking applications for the Samuel Lazerow Fellowship. The fellowship fosters advances in collections or technical services by providing fellowships to librarians for travel or writing in those fields. The submission deadline is December 4, 2009. UIC Librarian Named President-Elect of MLA
Ruth Holst, Librarian of the Health Sciences, University of Illinois at Chicago, has been named President-elect of the Medical Library Association (MLA). Holst served as secretary of the board of MLA from 2001 to 2004 and was named an MLA Fellow in 2002.
