Membership Categories & Fees
At their December meeting, the CARLI Board adopted the recommendations of the Membership Categories and Fees Committee regarding membership fees and benefits. As a result, CARLI will retain its three-tiered membership structure until, at least, July 1, 2011 (FY 2012). Membership fees will remain unchanged for Basic members ($100 per year) and Associate members ($500 per year) for FY 2010 and FY 2011.
Effective July 1, 2009, the minimum annual membership fee for Governing members will be increased from the current minimum of $750. The fee increase will be implemented over 2 years, increasing by $125 on July 1, 2009 and by an additional $125 on July 1, 2010. Governing membership annual fees above the new minimum rates will remain unchanged for FY 2010 and FY 2011.
Details on these fee changes were emailed to all Directors in late December. Each Governing member affected by the change in the minimum membership fee will be notified by mail in January.
Regional Mini-Forums to Continue Tech Services Workflow Analysis Conversations
Registration is now open for the regional half-day mini-forums throughout the state to "continue the conversation" after September's Technical Services Workflow Analysis Seminar. These mini-forums, sponsored by the I-Share Acquisitions and Serials Team and the I-Share Cataloging and Authority Control Team, will provide those who attended the seminar and any other interested parties an opportunity to discuss workflow issues with your colleagues in an informal setting. There will be breakout sessions by various technical services areas, as well as by size of library. It is expected that participants will choose one mini-forum to attend.

Copyright Basics & Library Reserves Workshop
Register now for this day-long program, led by Tomas Lipinski, Co-Director and Associate Professor for the Center for Information Policy Research at the School of Information Studies at the University of Wisconsin–Milwaukee. The day will begin with the basics of copyright and then delve into the topic of copyright and reserve materials.

"On the Front Lines" Conference March 16-18
"On the Front Lines", the sixth statewide library practitioners' conference will be held March 16-18 at the University of Illinois at Springfield (UIS). The conference, sponsored by the Illinois State Library and the Secretary of State's Office, is designed to equip and enlighten "front line" staff with training, exposure and techniques that will enable them to handle their work more effectively and efficiently. Conference sessions will focus on topics of interest to all types of libraries. Speakers will include:

Collections Management
eBooks Symposium Registration Open This day-long program will provide an overview of eBooks industry from perspective of the publishers and the users. Morning sessions will include presentations by Wendy Shelburne, Electronic Resources Librarian and Assistant Professor of Library Administration at the University of Illinois, Syed Hasan, Director, Licensing and Sales in the Americas, Springer. Over lunch, a representative from the University of Illinois Press will address the university press perspective.
The afternoon panels will feature CARLI institutions and their marketing and creative uses of eBooks, as well as technical services and collection development issues. The day will end with a vendor panel.
The eBooks Symposium will be held March 4 at the Hawthorne Suites, Champaign. For more information or to register, visit event registration page.

Center for Research Libraries (CRL) CARLI Membership Subsidy At its September 2008 meeting, the CARLI Board of Directors approved a partial subsidy for CARLI libraries interested in becoming members of the Center for Research Libraries (CRL). In addition, CARLI will establish an ILDS stop at CRL to facilitate the transportation of CRL materials for participants. CARLI will subsidize 50% of the annual CRL membership fee up to a maximum of $2,000/year for a total of 2 years. The cost of CRL membership is based on the library’s annual materials expenditure. Digital Collections
Registration Open for "State of Confusion: Writing your Digital Imaging Grant"
The CARLI Digital Collections Users’ Group is pleased to announce that registration is open for "State of Confusion: Writing your Digital Imaging Grant," a workshop on best practices for writing digital imaging grant applications. Two of these grant-writing workshops were given last year, in anticipation of the Illinois State Library's LSTA grants for digitization. The sessions were so popular that we are offering them again this year.
The trainer for the workshop is Alyce Scott, Digital Imaging Program Coordinator at the Illinois State Library.
The workshop will be held twice:
February 24, 2009, at the Illinois State Library in Springfield (with a "snow date" of February 26) March 10, 2009, at the Illini Center in Chicago (with a "snow date" of March 17)

Saskia on ARTstor
Does your institution subscribe to ARTstor? The CARLI contract with Saskia allows libraries that are ARTstor subscribers to put the consortially purchased Saskia Archive images on the ARTstor platform for a small fee. E-Resources
Interest Survey for FY 2009 Database Brokering Program
CARLI needs your participation in the Database Brokering Program Annual Database Interest Survey for FY 2010.
This survey is designed to gather information regarding the level of interest in various electronic resources. Again this year, you are encouraged to tell us about any additional databases in which you are interested and for which you would like CARLI to investigate consortial pricing. Your feedback will ensure that the CARLI e-resources program includes the resources that are most important to your library.
The survey is available until January 22nd. Survey instructions have been sent to the E-resources Contacts listserv. If you didn't receive your instructions, or if you have any questions, please email support@carli.illinois.edu with the subject line Database Interest Survey.
One-Time E-Resources Purchase Program
Given the current budget climate and the ongoing need to recover funds from the first two years of this program, the third year of the CARLI (subsidized) One-time E-Resources Purchase Program will be postponed for the foreseeable future.
The resources already purchased are still available to the membership through the database selection system. The products available for one-time purchase are: Sage Deep Backfiles; Black Thought & Culture; Historical Statistics of the United States; Sage E-reference Collection; and Women and Social Movements. ERMS Task Force
The ERMS Task Force is proceeding through a Request for Proposal (RFP) process for the selection of an ERMS (electronic resources management system). If the bid review and financial analysis result is to recommend an award, interested governing member libraries will be able to participate in the CARLI purchase of the selected ERMS at discounted rates.
Aggregated Database Task Force
The Aggregated Database Task Force is proceeding through a Request for Proposal (RFP) process for a journal database package to support basic academic research needs. CARLI's current contract for this type of product (currently provided to all Illinois academic libraries at no direct cost) is with EBSCO Publishing and expires in June 2009. As the EBSCO contract pre-dates CARLI, it extended service to all Illinois academic libraries, regardless of membership in CARLI. Non-CARLI libraries that have been using EBSCO under this arrangement will be contacted about CARLI membership so that they may continue this service and gain other consortial benefits.
ILDS
No Service on January 19
There will be no ILDS service on Martin Luther King Day, Monday, January 19th. Regular pick and delivery will resume on Tuesday, January 20.
2008 Delivery Statistics
The first full year of service on the new ILDS has come to a highly successful conclusion. We have overcome a few obstacles along the way but the services is operating smoothly and consistently. The new ILDS transported 1,387,327 items in calendar year 2008 with each item being transported for less than the cost of a first class postage stamp.
With thousands of purple ILDS bags traveling around the state, we hope your staff and patrons are pleased with the service. Thanks to all of you and your colleagues for your making this transition a successful venture. As always, we welcome any questions or comments at support@carli.illinois.edu.
I-Share
New in VuFind
CARLI has made some small but important changes to our local implementation of VuFind, the alternative public interface to I-Share/Voyager. CARLI is still waiting for the next major release of VuFind, so major development work is on hold, but in the meantime the following adjustments have been made:
- The logic behind the title and subject searches has been improved so that search results will be more precise.
- The link from VuFind to Google Book Search has been restored. See, for instance, http://vufind.carli.illinois.edu/vf/Record/csu_245531 (For those who wonder, links from WebVoyage to Google Book Search will also be restored as soon as possible, but this may not be until after the upgrade to Voyager 7.)
- From now on, users may delete tags they have added to a record, if they feel the need. (Tags added by users before this update can be deleted only by CARLI staff.)
- Syndetics data such as cover images will now be retrieved more rapidly. For more information about what Syndetics data display in VuFind, see the VuFind FAQ #16, "Why do I sometimes see the cover image and sometimes not?"

Adding an OPAC Search Box to Your Library's Web Site
CARLI and the I-Share OPAC Team are please to announce a new service available for any library interested in adding an OPAC search box to its library web site. The OPAC Search Box Builder will allow libraries to design the OPAC search box they want to incorporate into their web site, and will present them with copy-and pasteable HTML to do so.

Macro Express Workshop
A limited number of spaces are still available for CARLI’s continuing education workshop "Using Macro Express Software to Assist with Data Maintenance in I-Share Voyager Databases." The one-day session will be held at the CARLI Office in Champaign on Thursday, March 12, 2009. Lunch will be provided. In the event of weather-related cancellation, a "snow date" has been scheduled for March 13.
Topics covered will include:
- Introduction to Macro Express software
- Importing macros from the Shared Macro page
- Macro Express and Voyager client preference settings
- Setting the macro's activation key
- Input and output files
- Timing issues
- Voyager client commands
- Adapting an existing macro for another task
This workshop is intended for cataloging and/or circulation staff with data maintenance responsibilities at I-Share libraries, who have very minimal or no previous experience using Macro Express software. Attendees are expected to have basic familiarity with either the Voyager cataloging or circulation clients. Voyager Upgrade Planned for June 2009
CARLI is tentatively planning to upgrade I-Share from Voyager 6.5.3 to Voyager 7 on June 15-17, 2009. Among other changes, the upgrade is expected to include a utility critical to implementing the Universal Borrowing policy changes being recommended for I-Share resource sharing code revision work.
Specific details are not yet available at this early date, but please mark your calendar, particularly if you're the library’s I-Share liaison, and/or the person who installs the Voyager clients. If development and testing continue on schedule, we expect to implement Voyager version 7.1, but we may implement version 7.0 if there are delays in the release of 7.1. During the testing, we will attempt to streamline the upgrade so that it can be completed quickly and we will strive to keep most public service features of Voyager available throughout the upgrade, as much as possible.
More detailed information on the upgrade will be available in Spring 2009. For a preview of the differences in functionality between the current version of Voyager CARLI is running (6.5.3) and version 7.1, refer to the Ex Libris web site where you will find a variety of resources. Reports Server Synchronization
CARLI staff are still investigating options for providing a Voyager reporting environment that is more closely synchronized with the production data. The current reporting environment is synchronized as of 3am each day. Attempts to use the Oracle "Streams”" product were unsuccessful and we are now looking at another Oracle product called Data Guard.
Revised IUG and Team Charges Approved
At their December meeting, the CARLI Board approved revisions to the I-Share Users' Group and team charges to address the future needs of CARLI, as well as the current Voyager system. The new IUG charge is available from the CARLI web site.
Planning the Next ILS
Thanks to all who attended the Governing Director's meetings in Champaign and Chicago in early December to begin conversations about the next ILS. Minutes for the December meetings are available from the CARLI web site.
The discussion will continue into the spring of 2009 with the I-Share Users' Group and the various I-Share teams taking the lead in gathering information from operational staff about key functional requirements of CARLI's next ILS. As the process proceeds, CARLI will follow up with a process to gather library patrons' input. This will be done by an outside agency to ensure that the results are unfiltered by CARLI or library staff.
Preservation
Save the Date: Fire Services Institute Book Burn Simulation and Recovery
The Book Burn Simulation and Recovery workshop will feature a morning presentation on disaster planning. In the afternoon, Illinois Fire Services Institute staff will simulate a book burning and the Preservation Working Group will provide hands-on demonstrations of disaster recovery practices for participants.
The workshop will be offered twice, on June 9 and June 11, in Champaign. Registration information and program details will be announced soon.

Preservation Tip: Protecting Interlibrary Loan Materials from Damage
Although the new purple ILDS bags offer good protection, some simple packing techniques will ensure that traveling library materials stay safe and arrive at their destination and then back home in good condition. Secure books and the cases of videos, audiobooks, and cassettes with a rubber band to protect book pages from damage and prevent AV cases from opening, but use these minimally and with caution. A rubber band that is too tight can cause damage by creating an indentation in a soft plastic case or can cause a flexible item to bend or fold. For correct routing to system libraries, use a bookband label or place a label under the rubber band and secure it by taping it to the rubber band. Do not tape anything directly onto a book or AV case (see "Axis of Evil: Adhesive tape and Post-it Notes," in last month’s issue of this newsletter). Some AV items, flexible items, fragile items, and all items that must travel outside ILDS need more care. Package flexible items so they cannot bend in transit. A stiff envelope or a piece of stiff cardboard backing next to the item will work. For small or fragile items and those that must venture outside the ILDS system, use protective packaging such as a padded envelope, bubble wrap, or a box. Try to use an envelope or box that will hold the item snugly or add enough packing material to prevent the item from sliding around inside the container during handling. Use packaging tape to securely seal the package; place it over staples and other closures to prevent them from popping open if the package is tossed or dropped. Tape is good when you use it to keep your books and media safely contained as they travel!

The NSLS Digitization Symposium: Perspectives and Accomplishments
The North Suburban Library System will hold a day-long Digitization Symposium on February 3rd. The day’s events will feature keynote addresses by Roy Tennant, "Going Digital: Context, Impact, Future" and Jill Hurst-Wahl, "Digitization Essentials". The event will also include a showcase of current digitization projects from various Illinois libraries and cultural institutions. The fee is $125. For more information or to register visit L2.
Copyright for the Academic Librarian
Copyright is one of the complex issues faced by academic librarians. Recent lawsuits, guidelines and discussions have added to the complexity, leaving many librarians wondering where they stand. Come hear copyright expert Dr. Kenneth Crews, Director of the Columbia University Copyright Advisory Office, discuss the current landscape and how academic librarians can respond. Topics that may be addressed include electronic content, digital libraries, interlibrary loans, and more. This program will give particular attention to recent developments in the law, and discussion of proposals for amending copyright statutes, and the pending litigation over electronic reserves at a major university. This even will be held on Thursday, February 12, 2009, 9:30am – 12:30pm at the Metropolitan Library System, Chicago. The fee is $45.
