Collections Management

CARLI works to meet the diverse information needs of faculty, students, and other library users in Illinois by encouraging cooperative library activity in order to make the best use of its resources.

Last Copy Project

The Last Copy project to retain the last copy of library materials in Illinois, became an ongoing CARLI program upon completion of the pilot phase in April 2010. The project allows any CARLI library that seeks to withdraw a "last copy"  to donate it to a library that will retain the title for resource sharing in Illinois. Libraries interested in offering materials will complete a simple web form to initiate the process.

Five College Library Depository

All CARLI member libraries are affiliate members of the Five College Library Depository, through an agreement completed in May 2011.  Managed by the Five College consortium of Amherst, Hampshire, Mount Holyoke and Smith Colleges and the University of Massachusetts Amherst, the Five College Library Depository provides member libraries who subscribe to the digitized collections, access to a the physical volumes of the journals the of the American Chemical Society, the American Physical Society, the American Psychological Association, and the Institute of Physics, as well as those journals included in JSTOR and Project Muse.

Expanding Collections and Access

CARLI/OCA Book Digitization Initiative

Through the CARLI/OCA Book Digitization Initiative CARLI works to expand collections and access to information resources throughout the state of Illinois, providing guidance and funding for cooperative collection development.

For this initiative, CARLI has partnered with the Open Content Alliance to provide a digitization opportunity for Illinois academic and research libraries. The Book Digitization Inititative supports the conversion of materials from physical formats to electronic/digital formats, in order to make them more readily accessible for resource sharing, providing optimal access to and preservation of unique materials in Illinois.

Preservation

With the leadership of the CARLI Preservation Working Group, CARLI develops resources and training to CARLI member libraries to provide guidance on both curatorial and preservation matters for collections.

The Preservation Webliography developed by the Preservation Working Group offers a comprehensive guide to general and topical resources and materials including Assessment Planning, Audio-Visual Preservation (Analog and Digital), Book Repair and Conservation, Digital Preservation and Digitization for Preservation, Disaster Planning and Response, Grants and Development, Legal Issues, Library Binding, Mold, Pests and the Environment, Protective Enclosures and Storage, Special Collections and Archives, and Training.

Past Projects

Purchase on Demand Pilot Project

The short-term I-Share Purchase on Demand pilot project concluded in March 2010 with 190 items purchased over a five-week period. Items purchased represented requests from 40 I-Share institutions.

For the pilot, bibliographic records were loaded into I-Share for recently published items that met certain criteria. When these records were requested by a library user, project funds were used to purchase the item and the item was rush processed and the request filled. CARLI and the University of Illinois at Urbana-Champaign Library each shared the cost of the project.

Center for Research Libraries (CRL) CARLI Membership Subsidy

At its September 2008 meeting, the CARLI Board of Directors approved a partial subsidy for CARLI libraries interested in becoming members of the Center for Research Libraries (CRL). CARLI subsidized 50% of the annual membership fee up to a maximum of $2,000/year for a total of 2 years. The cost of CRL membership is based on the library's annual materials expenditure.

Collections Enhancement Awards Program (on hiatus)

Currently on indefinite hiatus, the Collections Enhancement Awards Program encourages the sharing of collections resources for the institutions of higher education in the state. Awards fall into two categories:

  • Access & Analysis Awards support enhanced bibliographic access to current collections or analysis of current collection strengths & weaknesses. Some examples include creating electronic guides to archival collections; adding holdings information for serials; targeted analyses in designated segments of the state’s current collection; interlibrary loan studies; and reviewing the history and impact of the collection enhancement awards.
  • Collection Partnerships / Collaborative Digitization Awards support collaborative projects among libraries. Collaborative digitization projects are specifically encouraged. In addition to CARLI member libraries, project partners may include non-CARLI organizations or agencies in the state (such as historical societies or museums).
