Statewide Serials Collection Task Force Minutes
October 18, 2006 conference call 1:30 p.m. to 2:30 p.m. Draft Notes Note: “To do” items are underlined. Present: Ann Riley, Chair, Nestor Osorio, Connie Poole, Todd Spires, Jan Sung, Chad Buckley, Sarah George, Elizabeth Clarage, Discussion of “Feast and Famine article by University of Illinois at Urbana-Champaign staff: Connie commented that unique titles at SIU-Med are not necessarily unique due to cataloging discrepancies, etc. Following discussion of gift titles, task force members agreed they should probably be included. Ann asked the group about the extent to which we can take extensive views outside science area. The logistics are daunting. A grant application could be considered. The revisions to the last copy guidelines, accepted by the CARLI board at the September meeting, were discussed briefly. Task Force members will look at the last copy guidelines before the next meeting; Elizabeth will send out the URL when the revision is posted. Task Force members generally agreed to look at the subcommittees’ work before deciding about expanding the assessment to other areas. In the meantime, Ann will follow-up on the possible uses of the OCLC Collection Analysis product for additional assessment while recognizing that all CARLI libraries do not participate in the analysis. Additionally some libraries do not list their detailed holdings in OCLC. The inherent limitations of the collection analysis product in terms of number of libraries were recognized also. An extension of the time period for CARLI-funded access to the OCLC service is under review by the Collections Working Group. Task force members were asked to review the article again with discussion about future expansion beyond science collections to be included on the agenda at the November 28 meeting. Reports from Subgroups:Proposed educational forum: Lynn reported that the subgroup completed a conference call immediately prior to the task force conference call. Preliminary target audiences for a forum are technical services and public services staff. Technical services issues include preservation and archiving issues including last copy and print storage. Public service access issues discussed so far include how constituents can find out what is loaned locally, consortially and available through a statewide collection. Additional issues relate to how to manage consortial purchases including SFX administration, implications of federated searching and management of the transition to electronic serials. Questions to be addressed include: What does last copy mean? Print only? Electronic? What are the implications of LOCKSS and Portico? The I-Share Acquisitions and Serials Team’s forthcoming forum on December 6 is addressing e-resources acquisitions too. The CARLI Products and Services Vetting Committee is looking at ERMs. The purpose of the task force’s forum is to get people to start thinking about a statewide serials collection. The relationship to the CARLI bibliographers’ group was also discussed. The task force concluded that, in light of other related activity, another forum might be delayed until later. For now it is important to spread the word about our efforts and review implications of LOCKSS and Portico. Follow-up from Science Collection study: The lists from University of Illinois have not been received yet. Ann has talked with Cathy Salika about the possibility of an SFX-generated union list; Cathy is working on it. Further discussion will occur at the November meeting. Research: Chad, Nestor and Kathy will report at the November meeting on the work of other consortia and states.
