CARLI I-Share Cataloging and Authority Control Team Minutes

Meeting #8, May 4, 2007 conference call

Members Present:  Susan Braxton (UIU), Jana Brubaker (NIU), Jill Garbs (SIE), Priscilla Matthews (ISU), Pamela Thomas (ICC)

CARLI Office staff present: Jessica Gibson, Cathy Salika, Casey Sutherland

Regrets: Chew Chiat Naun (UIU), Tony Glass (ERK, IUG Liaison), Diane Lisle (NPU), Conrad Winke (COL), Joan Schuitema (UIC).

Minutes from 1/30/2007 and 3/1/2007 were approved as revised.

Team Vacancy Update (Casey):
IUG will fill four committee openings for terms beginning July 1.  Naun’s replacement will serve until June 30, 2008.  The remaining appointments will be for full 3-year terms as Jana, Jill, and Conrad rotate off.  Applications/nominations via the online CARLI volunteer form will be accepted through May 15; members should encourage qualified colleagues to apply.  Those scheduled to rotate off may re-apply through the online form.

EndUser 2007 Conference Report (Casey):
Chicago event was first and last ExLibris-sponsored EndUser conference.  Future conferences will be under the ELUNA umbrella as a Voyager product working group.  Voyager-L listserv will continue.  ExLibris CEO and others announced plans to continue to support Voyager as a product into the future.  Voyager upgrades have been scheduled; version 7 is expected in 2008 and version 8 in 2009.  Version 7 features relevant to cataloging include:  Selecting the ISBN on purchase orders, record suppression/unsuppression using Pick and Scan, validation of ISBN and ISSN, merging existing bib records, relinking bib and holdings records on purchase orders, deleting bibs linked to purchase orders.  Other new capabilities relevant to acquisitions/serials and WebVoyage interface were mentioned.  Regular service pack releases for “software defects” (i.e., bug fixes) will be implemented by ExLibris.  Some of these will require new clients. Long-term plans are for a new integrated library system replacement for both Aleph and Voyager, called URM (Unified Resource Management).  PRIMO is a first step toward that end.  It will use the ExLibris federated search product, MetaLib, as its primary search engine.  The emphasis will be on “decoupling the front end from the back end.”  Casey Sutherland and John Whisler (former ICAT chair) presented at the conference on shared SQL queries and macros for database cleanup projects.  Cathy Salika presented on Voyager Access reporting.

Annual Report:
Jana volunteered to draft our report to IUG and the group can complete it via email.  It is due June 30.

Other Business:
Jana asked if other libraries were having problems with Voyager client timeouts.  Several team members replied yes.  Cathy Salika said that CARLI technical staff have received an increased number of these types of problem reports, and they are currently investigating.  A tech staff member is writing scripts to help analyze the timeouts, to collect server-side facts to supplement the anecdotal information supplied by the libraries in the problem reports.  A solution is not at hand quite yet, but they are working on it.

At our next meeting, June 7 at 10am, we will finalize our annual report and brainstorm on future ICAT activities.
