I-Share Acquisitions/Serials Team Minutes
January 18, 2008 (conference call)

Meeting began at approximately 11:05 a.m.
- Minutes of December 11, 2007 were approved.
- CARLI update, Jen:
- The Voyager 6.5.3 upgrade was completed. A few bugs have people scratching their heads, but the CARLI office is working on them.
- CARLI has finished index regeneration.
- Five new CARLI member libraries met on January 14, 2008. They are Rush University, Adler School of Psychology, Chicago School of Professional Psychology, Harrington College of Design and Principia College.
- IUG update, Carlos:
- Nothing new to report. The IUG has not met since before our last meeting.
- Workflow Assessment and R2 Consulting
- Ted reported that he had contacted the Chair of the I-Share Cataloging and Authority Control Team (ICAT), (Susan Braxton (UIUC)) to discuss the idea of a forum on workflow assessment. She said that they would be interested in co-sponsoring a workshop developed on our own or using an outside consultant such as R2 Consulting.
- Cindy reported on her contact with R2 Consulting. She emailed them after our December meeting to see what types of workshops they could perform for us and to obtain an idea of potential costs. She forwarded her response to the committee before this meeting. She thought that the program looked appealing except that it might be a too broad, touching on workflows outside of acquisitions and serials functions. She was also concerned about pricing. Jen suggested we could submit a proposal for the workshop using R2 Consulting to the CARLI Program Planning Committee.
- We also discussed a couple of emails which Sharon had forwarded to the group from a Listserv regarding R2 Consulting. We wondered if the team should inquire with other teams or with librarians around the state to see if anyone had been to an R2 workshop in the past. Carlos indicated that he would contact Stephen Smith (UIS) who coordinated an ALA pre-conference that included R2.
- We may also want to contact R2 Consulting to see if they can configure an acquisitions/serials specific workshop for us.
- ERMS Scenarios
- Jen, Michelle and JoAnn met via telephone last week to discuss the different scenarios by which CARLI could facilitate the purchase/opportunity to purchase of an ERMS system. They wrote a brief document which was sent to everyone on the sub-team, including Todd and Carlos who were not present at the meeting. At this point, Carlos would like to submit some comments to Jen. Once she receives them, she will forward the document to the entire Acq/Ser Team.
- The discussion/document was hindered by the issue of cost. This will be included in the final report for the Product and Services Vetting Committee.
- Jen will touch base will Susan this week to see how quickly they want our report.
- Cancellation Items to WIKI
- Ted wanted to follow up on this topic from our December meeting.
- Jen and Sharon are going to put the information up on the Wiki. Then we will invite members of the CARLI community to add/update it as they see fit.
- Survey the Spring Forum
- Ted brought up the idea of creating a survey regarding a second acquisitions/serials forum in the Spring. This had been discussed at previous meetings of the group. After some discussion it was decided to not have a forum in the Spring, but to focus the workflow assessment workshop idea for the Fall.
- We will continue with a survey using Survey Monkey. The team of Jen, Christophe, Todd and Sharon has been tasked to think up questions for the survey. The intent of the survey will be to determine topics librarians are interested in and to find the best time of the year for forums.
- Upcoming Meetings
- The next meeting of the team is February 15, 2008, tentatively in Champaign. We may switch it to a conference call at a later date.
- Our March meeting was moved from the 21st to the 20th due to Good Friday. It will be in person in Champaign. We will have an open conference call following.
