November14, 2005 Members attending: Kim Armstrong, Raeann Dossett, Kim Hale, Nancy Hessler, Kathryn Miller, Jim Mouw, Karen Schmidt Members absent: Mary Munroe (Board liaison) Staff attending: David Hamilton, Tom Dorst Summary: Tom Dorst and David Hamilton reported on the progress of the Fall database subscription cycle. This cycle includes both titles that were previously handled by IDAL and ICCMP. For the ICCMP titles (ACS, Project Muse, MathSciNet), licenses have been renegotiated and transferred to the University of Illinois. To avoid inconvenience and confusion among members, subscriptions can be entered electronically, using the system developed by IDAL, or Faxed back, using the method employed by ICCMP. Paper mailings and electronic announcements were both used to inform the membership. Staff will analyze how the process worked in this cycle and ask the committee for recommendations on the future method of operation. The committee discussed the timing and process for the Spring brokering cycle. Additional ICCMP databases will be migrated to CARLI in that cycle, including Lexis-Nexis and ABC-CLIO. The primary goal will be to begin the cycle as early as feasible, in order to accommodate institutional budgeting. The first step in the process is to conduct the annual database interest survey. That will take place in November and December. List of schools expressing interest will be sent to vendors before the holidays, with a request that preliminary pricing be available for review with staff at ALA Midwinter. The committee discussed its charge from the Board. There was general sentiment that it should be revised. Kim Armstrong volunteered to draft the revision for discussion and action at the December meeting. Revisions will be forwarded to the Board for approval. The committee spent the remainder of the call discussing the list of vendor proposals and offers that had been compiled by staff. Members had varying levels of familiarity with the various products, so it wasn’t possible to rank order the list. Offers for Oxford Reference Online, Encyclopaedia Britannica, the historical Chicago Tribune and the historical Chicago Defender were seen as the most obvious targets for consortial effort. The committee suggested that gathering member feedback would be helpful to the process. Staff will develop a quick survey for the databases discussed by the committee before any final recommendations were made. Several committee members suggested that it would also be helpful to conduct a census of the membership, to determine the full range of consortial options currently utilized by CARLI member libraries to obtain brokered electronic resources. The staff will develop a proposal to accomplish this. Actions:
