CARLI Digital Collections User Group Minutes
Meeting Minutes
October 15, 2008
Conference call

Members Present: Matt Cook (Chair; Illinois Institute of Technology), Ellen Corrigan (Eastern Illinois University), Kevin Ford (Columbia College Chicago), Kate James (Illinois State University), Betsy Kruger (University of Illinois at Urbana-Champaign), Michel Nguessan (Governors State University), Julie Patton (Northwestern University), Sue Wilson (Illinois Wesleyan University)

CARLI Staff present: Jessica Gibson (committee liaison), Amy Maroso (committee liaison), Elizabeth Clarage

  1. Ellen agreed to take minutes.
  2. Minutes from the September 15 meeting were approved.
  3. Subcommittee reports:
    1. Interface Subcommittee:
      1. Sue reported that the group is looking into allowing content providers to opt out of the browse link and search box added by CARLI to collection home pages, in order to avoid confusion on pages with customized search/browse features.  She will send her notes on this issue to the DCUG email list.
      2. The group is also exploring ways to reorganize the CARLI Digital Collection home page.  The home page for the LOUISiana Digital Library (http://louisdl.louislibraries.org/), which is customized within the CONTENTdm environment, includes several features that might serve as a springboard for redesigning the CARLI page.  The group will meet again to work out language before the next DCUG meeting.  Jessica is pursuing the possibility of hiring an external consultant to help with the technical end of the redesign.
    2. Standards Subcommittee:
      1. Kevin reported that the group will review the standards documentation on an annual basis to ensure relevance and currency.  They will begin by reviewing the current guidelines for metadata and for digitization of images and text.
      2. The group is gathering information on audio digitization standards.  All DCUG members are encouraged to add links on this topic to the wiki.  (Space has also been created on the wiki for future work on text and video digitization standards.)  The group will evaluate the sources posted to the wiki at its November 11 meeting, with a goal of completing the document by March 2009.
  4. Forum update:
    1. Matt spoke with Lynne Thomas (Northern Illinois University), Chair of the Preservation Working Group, to discuss co-sponsoring a digital preservation forum.  Lynne expressed interest in co-sponsoring a copyright forum as well.  Because two other regional events on copyright will be held in the spring,* DCUG and the Preservation Working Group may consider postponing a forum on this topic or focusing on specific practical aspects of copyright for digitization.
    2. Next steps: DCUG needs to determine dates (July/August 2009?), locations, and speakers for a digital preservation forum as soon as possible in order to apply for funding from the Program Planning Committee.  Per the revised Guidelines for CARLI Committee Chairs and Members, proposals must be submitted six months in advance of the event.  Matt will take the lead on coordinating the digital preservation forum with Lynne, aiming for a tentative mid- to late summer date; Sue and Betsy will assist with the planning.  The forum planning group will pursue speaker recommendations, look into setting up an email list for communicating with PWG, and report at the next DCUG meeting.
    3. Sue, Julie, and Matt plan to attend the NEDCC Persistence of Memory conference on sustaining digital collections, to be held December 9-10 in Chicago (http://www.nedcc.org/education/conferences/pom2008/pombroc.php).
  5. Grant-writing workshop: Amy will contact Alyce Scott (Illinois State Library) about repeating the LSTA Digitization Grant Workshops given last year.  Two workshops will be scheduled in early spring prior to the letter of intent deadline, taking backup dates into account; one will be held in Chicago, and the other in the southern part of Illinois.
  6. No news on the CONTENTdm upgrade.
  7. New business: CARLI Digital Collections has a new About page.
  8. Next meeting (coference call): Tuesday, November 18, 2008, 10:00am - 12:00pm
