CARLI Collections Working Group Minutes

Elizabeth handed out proposal scoring tabulation sheets for the Collaborative Digitization / Collection Partnership Awards Proposals and for the Access and Analysis (AAA) Awards Proposals. The group began to peruse them.

Mary Konkel, Chair, called the meeting to order at 10:25 AM and reviewed the agenda. She handed out a packet of materials pertaining to the June 12 planning meeting and the transition to Marlene Slough as committee chair. Mary will be sending the Collections Working Group Annual Report to the CARLI Board on Monday, June 1.

ANNOUNCEMENTS:

Reminder to approve the April 14 minutes on the wiki. EC said that a majority had approved of them as of the previous evening.

Reminder of the June 12 meeting at the Illini Center, downtown Chicago, 10 AM.

The CARLI Last Copy Pilot Program has been launched with over 100 items offered thus far. Elizabeth is seeking a location willing to be last copy repository for VHS recordings (neither UIUC nor SIU-C is interested). Mary suggested that if no one in CARLI is interested, notifying the Library Systems might locate a library willing to do this.

Dane Ward's plan to allow libraries to sell withdrawn materials that were purchased with state funds has passed the Illinois House and Senate.

Upcoming CARLI programs:

  • Preservation Group will be holding a program at the Illinois Fire Service Institute on Disaster Recovery. Mary will be attending and report back to CWG.
  • June 10, CARLI Sponsored Conference (from this year's Access and Analysis Award): Our Monograph Collection: A Call for Collaboration will include Julia Gammon, who will share the results of a recent OhioLINK assessment project on statewide monograph collections in Ohio. Lynn Wiley and Tina Chrzastowski will be presenting "I-Share Monograph Collection Assessment: What are we buying and how is it used?" results from their analysis of I-Share.
  • July 21, CARLI Digital Collections Users' Group: "Ensuring Enduring Access: A Forum on Digital Preservation" at the I-Hotel in Champaign.
  • The CARLI staff will send a note to members to see if there is interest in a tour of the Center for Research Libraries on the Monday of ALA (July 13).
  • CWG Fall Forum - be thinking of a location in the Chicago area that can hold 100. Either Oct 2 or Oct 19.
  • October 30, 2009 is the date of the CARLI Annual meeting. It will be held at the I-Hotel in Champaign.

SCORING AWARD PROPOSALS

Elizabeth informed the committee that the CARLI Board will be discussing the CARLI Collections Enhancement Awards Program and its budget at its meeting on June 5. Given proposed budget shortfalls, there is a proposal to the Board to reduce the funding for the FY2010 Awards Program by $80,000, the amount added to the program after the formation of CARLI.

CWG members agreed to score the proposals:
1. As if full funding would be received ($150,000)
2. As if the group would have only $70,000 to award.

The group then looked at the proposal scoring and discussed each proposal. The final decisions were sent to the CARLI Board by Elizabeth, with comments by the committee on why a proposal was recommended or not.

BOOK DIGITIZATION FOR FY 2011

The CWG wholeheartedly recommends continuing the CARLI Book Digitization Initiative. CWG is excited about unlocking these hidden treasures within the state's collection. CWG recommends a rolling, year-around program, rather than continuing with the "one-time-a year" process that we have been using.
