CARLI Collections Working Group Minutes
Conference Call April 14, 2009

Announcements:
- The RFP process has been completed and the University of Illinois Library has selected YBP Library Services as their monograph/book vendor. CARLI is publicizing as this pricing will be extended to CARLI member libraries.
- CARLI is almost ready to rollout an electronic form for use in offering last copy of an item to another library in the state. Programmers are working to automate the process to offer the item first to the U of I and then to another research library.
- I-Share Analysis Project conference will be held on June 10th. There are 100 slots open with lunch provided. This will be held at the I-Hotel in Champaign.
- June 9th and 11th is the Preservation Working Group Program: Illinois Fire Services Institute Burn Simulation and Recovery. This is limited to 20 people on each day.
Decisions:
- CWG reviewed 9 Collaborative Digitization/Collection Partnership proposals for the theme "Peace / Justice / Conflict." The group decided that with some creativity all met the theme.
- The CWG reviewed all the proposals received for the CARLI Book Digitization Initiative. The CWG decided that items to be digitized must have four sides (not just one page, front and back).
- The CWG discussed the CARLI Book Digitization Initiative and the process for selecting items for the program. The CWG agreed that making this a more rolling program would work and possibly increase submissions. No decision was made to make the submission process either quarterly or bi-monthly.
Tasks assigned:
- Elizabeth will send out a reminder on the review information and links for the next phase of proposal reviews.
- Elizabeth will have letters sent to those that submitted proposals for the CARLI Book Digitization Initiative.
- CWG should begin the next phase of the Collections Enhancement Awards Program review of proposals. The deadline for review is May 11th. The 5 required criteria by which proposals will be judged are: Benefit, Cost and Funding Plan, Quality of Plan of Operation, Expandability/Adaptability, Quality of Plan for Evaluation & Plan for Reporting on Progress.
