CARLI Collections Working Group Minutes
Septemaber 15, 2008 Conference Call

Mary Konkel, Chair, called the meeting to order at 10:00 a.m. and reviewed the agenda. Welcome to Lydia Ruetten, the newest member of the CWG. She has been appointed for a 1 year term, replacing Kathy Bloomberg, who resigned this summer.
ANNOUNCEMENTS:
- Buying to Share is the powerpoint from Lynn & Elizabeth's presentation at IFLA Pre-Conference
- The Joint E-Book Symposium from the Collections Working Group and the E-Resources Working Group has been funded by the CARLI Program Planning Committee. The date of the program is February 23, 2009.
- The Preservation Working Group is planning a workshop with the UI Fire Services Institute on book burning and recovery. They will try to offer this program twice in May 2009.
- Vendor presentations for the UI RFP are scheduled for September 16, 17, & 19. Heather Parisi will attend the Coutts presentation on September 16, Frances Drone-Silvers will attend the Blackwell presentation on the 17, & Mary Konkel will attend the YBP presentation on the 19th. Each will report on the presentations for later distribution to the CARLI membership.
- The group's April 10th meeting has been rescheduled for April 14th from 10 am - 1 pm.
DECISIONS:
- Elizabeth will add links to the FY2008 CARLI Collections Enhancement Awards Summation Reports to the Group's Wiki, so they can be reviewed by the WG for later discussion this Spring in continuous improvement of the Awards program.
- After review of the results of the membership survey sent out last month and committee deliberations, Peace / Justice / Conflict was selected as the theme for the Collection Partnerships/Collaborative Digitization section of the FY2010 CARLI Collections Enhancement Awards Program. Themes discussed and/or suggested, which were not selected, will be considered as options for future years.
- Elizabeth will send documentation to the subgroup (Mary, Marlene, Luann, Elizabeth) by the end of the day September 15, 2008 to review. We will be merging into a single document to further simplify the process.Revised timeline for the CARLI Collections Enhancement Awards Program:

- The scanning location for the CARLI Book Digitization Initiative is Fort Wayne, Indiana at the Allen County Public Library. The contract with OCA has been signed. A listserv for participants has been created. Any CWG members interested may request to be added to the listserv. CARLI will work with the participants to ship materials through UPS. CARLI will pay for shipping through UPS. Participants will have the option to hand deliver materials to the scanning site as well as to choose another shipping method, but these costs will not be reimbursed by CARLI. The CWG will be adding shipping information and options to the documentation for the CARLI Book Digitization Initiative, so participants will be informed that shipping *might* be an institution's contribution for the FY2010 program.

- The October 13 Collections WG Fall Forum has been posted and is open for registration. NOTE: CWG members planning to attend, need to register. The morning program will feature presentations on weeding, and a roll-out of the 2010 CARLI Collection Awards including the CARLI Book Digitization Initiative and the CARLI Collections Enhancement Awards programs. The afternoon will feature "subject" breakout sections. Mary will do a brief welcome from the group for the day and will report on the Forum via the CARLI blog. Lynn, Luann, Katie, Lydia, and Heather will be conversation facilitators for the small group "subject" breakout sessions in the afternoon.
- The May 29th meeting will be held at Governors State University. University Park is served on the Chicago Metra electric line.
- The group will consider and decide in the next few weeks if we should have an in-person meeting prior to May. Date options include: November 18, February 12, or April 14.
