Collections Working Group Minutes
July 30, 2008 CARLI Office

Mary Konkel, Chair, called the meeting to order at 10 a.m. and reviewed the agenda.
The minutes of the June 20 meeting were passed out and the process for approving the minutes on the working group's wiki was discussed.
DECISIONS:
- Marlene Slough named Chair-elect for 2008-2009
- Awards Program FY2009 & FY2010:
- Sub-group created to review documentation and to ask for an abstract as part of the proposal and add aliterature review and research & methodology section to proposals in the Access & Analysis category. Sub-group includes: Mary Konkel, Luann DeGreve, Marlene Slough, & Elizabeth Clarage.
- Mary will write the message soliciting ideas for theme from CARLI membership. 4 themes emerged from survey sent out to FY2009 participants. The suggested themes are Poverty, Peace/Justice/Conflict, Multiculturalism, Innovation.
Timeline for FY2010 Awards Program: September 15, 2008: Conference call to discuss theme October 13, 2008: Fall meeting December 5, 2008: Intent to apply letters due December 12, 2008: Proposal workshop in Chicago December 16, 2008: Webinar of proposal workshop March 27, 2009: Proposals due April 10, 2009: Conference call to discuss if proposals meet the theme April 13-May 11, 2009: Working group, volunteer library directors, and CARLI Board members scores proposals May 29, 2009: Working group meets to review scores June 5, 2009: Inform CARLI board of decisions
- Book Digitization Initiative FY2009 & FY2010
Push up the date for FY2010 book digitization initiative, rather than have a second call for FY2009 book digitization initiative. This will help alleviate confusion with the Awards Program.
Sub-group created to review documentation including updates to the required itemized list so that information needed if selected is included (such as barcode and bib id (where possible)) and add clarification on how to determine copyright and OCA status. The theme will remain Illinois Culture & Heritage. Sub-group includes: John Dorr, Elizabeth Clarage, & Amy Maroso.
Timeline for FY2010 Book Digitization Initiative: December 5, 2008: Intent to apply letters due March 2, 2009: Proposals due March 9 - 30, 2009: Working group scores proposals April 10, 2009: Conference call to review proposals
- The planning subcommittee (Luann DeGreve, Katie Maier O'Shea, and Elizabeth Clarage) will continue to work on the fall meeting and the joint meeting between the Collections Working Group and Electronic ResourcesWorking Group.
ANNOUNCEMENTS:
- Susan Singleton announced that VUFind is ready for public consumption and that CARLI is working to extendpricing to PerAbs for CARLI libraries. She also stated that the recently approved state budget will notdirectly affect the CARLI allocation with the exception of CARLI staff raises. ILDS is secure and the CARLIboard will work on contingencies at the September board meeting.
- Elizabeth continued with CARLI updates including, the CARLI office move; Sarah Miller will be a visitingCARLI staff member to work on the RFP to purchase an ERM for CARLI, including a tag a long for CARLIgoverning members. There are 5 new I-Share members: Principia College, Rush University, Adler School ofProfessional Psychology, Chicago School of Professional Psychology, & Harrington College of Design
- Lynn Wiley & Elizabeth will be presenting a paper on resource sharing and the CARLI consortium at the IFLAsatellite conference in Boston.
- The contract with OCA has not been signed yet and won't be signed until a location for the scanning isdetermined.
- Vendor presentations for the UI RFP are scheduled for September 16, 17, & 19. Heather Parisi, Frances Drone-Silvers, & Mary will report on the presentations for later distribution to the CARLI membership.
