CARLI Collections Working Group Meeting

Decisions:

  • Minutes of the August 3, 2007 meeting were approved.
  • For FY2009, Collection Partnerships/Collaborative Digitization proposals should address the theme of “Green, Global and Sustainable” and Book Digitization Initiative proposals should address the theme of “Illinois Culture and Heritage.” Access & Analysis proposals need not address a theme.
  • The CARLI Awards Program Multi-Year Project Proposals document was approved as submitted by the Ongoing/Multi-year Projects subcommittee. This document along with other Awards Program materials (e.g. cover sheet, proposal process forms, sample Commitment of Collection Responsibility) will be merged to form a single document.
  • “New Directions for CARLI Collections Awards: A Forum on Expanding Access to Content and Collections, New Partners, and New Opportunities” (formerly Bibliographers’ Meeting) will be held on November 2 in Champaign. Demonstrations/tours of the OCA workstations at the UIUC Oak Street facility will be available on November 1 and 2. The morning speaker will be Robert Miller, Director of Books, Internet Archive. The afternoon will provide attendees the opportunity to meet in small groups: sciences, social sciences, humanities, general collections, and reformatting.
  • The committee will not pursue offering a program at the 2008 IACRL spring conference.
  • Based on discussion of the results of a survey distributed to OhioLINK, Orbis Cascade Alliance, and Colorado Library Consortium, the committee recommends future exploration by CARLI as to the feasibility of consortial serial purchase plans, monographic purchase plans, and e-book purchases.
  • The committee agreed to a future discussion of CWG directions/strategic planning in light of the forthcoming CARLI strategic planning document.
  • The meeting adjourned at 2:02 p.m.

Announcements:

  • A wiki had been developed for use by the Collections Working Group. It is a public site with access restricted to committee members and available at http://wiki.carli.illinois.edu/index.php/CollectionsWG.
  • Jerry Anderson will be attending the CARLI Chair Coordination Meeting on September 20, 2007 and reporting the business of the committee to date.
  • The FY2007 Collections Enhancement Awards reports have been submitted, with 1 report incomplete and 1 report to be submitted at a later date.
  • All commitment letters for participation in the FY2008 Collections Enhancement Awards program have been received and checks have been sent to institutions. A list of the 13 funded projects was published in the August 8th CARLI newsletter.
  • The application deadline for the CARLI-hosted ACRL/ARL Regional Institute on Scholarly Communication has been extended to the end of September.

Tasks assigned:

  • All committee members should create an account on the CWG wiki and send their user name to Elizabeth by Friday, September 21.
  • Elizabeth will post the FY2007 Collections Enhancement Awards reports to the CWG wiki.
  • Elizabeth will provide FY2009 Collections Enhancement Awards documentation to the CARLI Board for review at the September 21st meeting.
  • Elizabeth will send out a “Save the date” announcement for the November 2nd meeting.
  • The OCA subcommittee will develop documentation for the FY2009 Book Digitization Initiative proposal process (Clarage, Dorr, Slough, and Wiley).
  • The Bibliographers’ Meeting subcommittee will finalize and distribute the November 2 meeting agenda and registration materials (Anderson, Clarage, Slough and Wiley).
  • The Scholarly Communications Issues subcommittee will draft documentation for the upcoming spring workshop (Anderson, Buckley, Dorr, and Clarage).
  • The Serials subcommittee will report at the next meeting (Bloomberg, Clarage, DeGreve and Wiley).
