Members attending: Jerry Anderson (Joliet Junior College); Katie Maier-O’Shea (North Park University), Linda McEwan (Elgin Community College), Linda Morrissett (DePaul University), Nancy O’Brien (University of Illinois at Urbana Champaign), Marlene Slough (Eastern Illinois University)

CARLI staff attending: Elizabeth Clarage, Connie Walsh

Members absent: Karen Egan (Illinois State Library)

  1. Review of Agenda
  2. Review of December 4, 2006 minutes. Minutes will be reviewed and approved through e-mail.
  3. Awards Program 2008. The evaluations for the “Proposal Writing Workshop” were sent to the CWG on December 14, 2006. All were positive. For the future, the CWG may consider keeping a list of participants so future attendance at a duplicate workshop may not be required. Katie Maier-O’Shea and Elizabeth Clarage will update the score form this week. E. Clarage has contacted Nackil Sung at Eastern Illinois University about the scoring matrix that is currently used and the possibility of using the same mechanism with the new scoring website being developed. Linda McEwan, Marlene Slough, and E. Clarage will test the website by the end of the month. M. Slough and E. Clarage will proposal guidelines for formats for award reports to the larger CWG. M. Slough mentioned that LSTA grants have a model that CARLI might follow.
  4. Update on OCLC Collection Analysis Product. Thirty-three institutions requested pricing. There are 4 CARLI subscribers. Feedback from the institutions was sent to the OCLC representative. Unique item information was extracted from the Group OCLC product for all institutions with less than 100,000 unique items. M. Slough and E. Clarage will work on a survey of the former Group product users.
  5. Last Copy Guidelines. Nancy O’Brien, Linda Morrissett, and E. Clarage will form a small CWG subgroup to respond to the I-CAT response.
  6. Workshop for 2007 – Jerry Anderson completed a suggestion form for a program on scholarly publication and the role of CARLI in Illinois. A possible speaker would be Charles Bailey. The program would be for fall 2007. For a program on Weeding, Linda Morrissett contacted several institutions but they were not engaged in weeding programs/projects. K. Maier-O’Shea is willing to be a part of the program as her institution is in the middle of a project. E. Clarage will contact D. Smith to see if she is available. If she is not, J. Anderson will send a note to the NILRC listserv for any participants. E. Clarage will contact Mary Munroe to see if anyone is available from their institution to discuss weeding. Possible date of the workshop is April 13th at Parkland College. E. Clarage will check on availability.
  7. Results from June 2006 consortia survey (attached). Discussion tabled.
  8. Book Vendors. E. Clarage will contact UIUC about their contract to see if we could look at its provisions and if it might be available to a larger number of institutions.
  9. New business
    1. FMG On Demand (from PSVC). CWG voted that this product (or something like it) is worth investigating a consortial license.
    2. Joint Working Group Chair Meeting. The chairs of the four CARLI Working Groups will meet on February 16. The CWG thought that one topic the group might discuss is last copy issue.
  10. Other items: A question on collection size was sent to CARLI by a consortium member. CWG will form a small subgroup of L. Morrissett, L. McEwan, and E. Clarage to respond. E. Clarage will review if other consortia have recommendations. Linda McEwan noted that the current ACRL guidelines are qualitative rather than quantitative. The previous guidelines published in the early 1990’s were quantitative. The earlier guidelines are not on the CARLI website. E. Clarage will respond to the question from the member.

Next meeting is April 30, 2007. E. Clarage will check on the availability of the School of the Art Institute. If not available, other location will be the Illini Center.
