Decisions

  • Minutes of the December 5, 2008 meeting were approved prior to the meeting.
  • The Board accepted the recommendations of the Executive Committee regarding the 2009 nominating committee and the timeline for nominations and elections, as amended. Current Board members Anna Maria Watkin, Parkand College, Jan Chindlund, Columbia College, and Paula Kaufman, Illinois will serve on the Nominating Committee with CARLI staff coordinating the process.
  • The Board approved the recommendation from the Products & Services Vetting Committee to provide $5000 in matching funds for a pilot project “Building on our shared I-Share success: extending user requesting to support new user initiated book purchases”. A task force has been created to work out the details of the pilot project.
  • The Board approved the pricing model for I-Share data extracts.
  • The Board accepted the proposal to endorse the Digitize America Proposal. Members will provide materials if the project is funded.
  • The meeting adjourned at 1:25.

Announcements

  • CARLI is faced with a likely permanent reduction in funds beginning in FY2010 as a result of the state fiscal challenges, and is awaiting final decisions about the state budget and the University of Illinois administration’s measures to address the situation.
  • The member assessment survey from the Board Assessment Task Force will be released to the membership in March. Results of the survey and the final report of the task force will be presented to the Board at their June meeting.
  • The CARLI Annual Meeting will be held on October 30th in Champaign. The theme of the meeting will be “Finding Opportunities in a Time of Economic Crisis”. Meetings of the Governing Directors and the CARLI Committee Chairs will precede the Annual Meeting.
  • The ERMS Task Force has completed the Request for Proposal (RFP) process for the purchase of an electronic resources management system and is waiting on the best and final offer from the vendor.
  • The Aggregated Database Task Force has sent forth their recommendation for the purchase of the journal database package currently provided to all CARLI members at no direct cost. The current contract with EBSCO Publishing expires in June 2009.  The University of Illinois Board of Trustees will consider the purchase request at their March 11 meeting.
  • CARLI is tentatively planning to upgrade I-Share from Voyager 6.5.3 to Voyager 7.x on June 15-17, 2009. The upgrade is expected to include a utility critical to the resource sharing code revision work.
  • CARLI has concluded testing of the Voyager Analyzer product. The product failed in testing and we will notify Ex Libris that CARLI will not be implementing it consortially.
  • Investigation and testing continues on methods to provide more current reporting and backup for I-Share.
  • The Resource Sharing Code Revision Task Force will reconvene in 2009 to finalize the revised Code.
  • The I-Share Users Group and the I-Share teams will begin gathering information from operational staff for the functional requirements of the next ILS.
  • CARLI staff will be testing Syndetics Indexed Content Enrichment (ICE) Tables of Contents for the I-Share VuFind Universal Catalog.
  • The first of the eXtensible Catalog (XC) toolkits is expected to be available to project partners by March 31, 2009.
  • CARLI is working with library staff at the University of Illinois at Urbana –Champaign to test Easy Search as a possible search and discovery tool for CARLI libraries.
  • The latest upgrade of CONTENTdm experienced multiple failures in staff testing.  CARLI is awaiting a patch from CONTENTdm to fix the problems. Planning for a new interface design for CARLI Digital Collections has begun.
  • The first books digitized through the CARLI/Open Content Alliance Book Digitization Initiative are now available from the Internet Archive web site. The call for proposals for the FY2010 Book Digitization Initiative yielded 36 proposals from 20 CARLI institutions.
  • CARLI is preparing to launch a one-year Last Copy Pilot Project to help members who own the last copy of library material in Illinois and are interested in donating the materials to an institution where they could continue to be made available for use. The Last Copy Pilot Project will test using the University of Illinois at Urbana-Champaign as the initial recipient of these last copies.
  • The FY2010 Spring Database Selection Period will open in late April.
  • Anne Craig, Illinois State Library, announced that OCLC pricing information for FY10 and FY11 has been sent to all libraries.

Tasks assigned:

  • The Board directed staff to prepare recommendations for possible cost-sharing and/or elimination of products and services necessary to meet the projected budget constraints.
  • The Board directed staff to proceed with the development of management statistics to be shared with library directors in late 2009.
